Position Overview

The Office Manager will report to the Branch Manager. This position will facilitate the successful operation of the assigned work location. The Office Manager position will provide administrative leadership support to ensure efficient operations of the administrative office and assist in the smooth functioning of business, sales, operational and customer service deliverables. The Office Manager will also lead a team of hourly team members, including developing, coaching, and performance management.


Key Responsibilities (Not Limited to the Following)

The Office Manager position will be aligned with the Company’s goals, KPI’s (Key Performance Indicators), business, operational, sales and customer service priorities.

  • Provide exceptional office leadership and administrative support to key stakeholders, administrative office, operations, and sales teams, including managing calendars, scheduling appointments, and organizing on-site and virtual meetings and events
  • Work cross functionally and serve as a liaison between leaders, employees, customers, vendors, and administrative teams
  • Handle and prioritize incoming calls, emails, and inquiries from clients, prospects, and vendors in a professional manner, providing exceptional customer service at all times
  • Assist in the preparation written and digital communications, reports, presentations, budgets, expense reports, contracts, and agreements, and proofreads for content and edits using knowledge of grammar, punctuation, spelling with high accuracy and attention to detail
  • Manages the day-took-day financial operations of the assigned work location including A/R, financial arrangements, billing, and refunds
  • Create and sustain a positive work environment for success, complete payroll, time-keeping, and performance management activities
  • Planning and executing internal (e.g., team lunches, meetings) and external events, as well as processing expense reports
  • Conduct research on the food industry, market trends, and comparable sales to support decision-making processes
  • Prepare meeting agendas, attend meetings, take notes of discussions, and prepare initial drafts of minutes and summary reports
  • Maintain physical and digital filing systems
  • Manage office supplies inventory and place orders as needed to ensure adequate supply levels
  • Complete other tasks, assignments and projects as assigned


Qualifications & Experience

The Office Manager position requires individuals to have the ability to perform each essential job function. The requirements listed are representative of the knowledge, skills, and abilities:

  • Professional, positive, and enthusiastic attitude
  • High school diploma or GED equivalent required
  • 2+ years of proven experience as an Office Manager or Executive Office Administrative Assistant
  • Knowledge of office management systems and procedures
  • Digital literacy and research skills, including the ability to analyze the reliability of information
  • Effective communicator, both written and verbal, and excellent active listening skills
  • Exceptional customer service skills
  • Demonstrated ability to manage conflict, build consensus, facilitate problem-solving and collaboration
  • Excellent organizational and time management skills
  • Ability to multitask with a strong attention to detail
  • Self- motivated with a sense of urgency
  • Flexibility to work varied shifts


Technical Requirements

Advanced experience using Microsoft Office software (Word, Excel, PowerPoint, Outlook & Teams) and Adobe Acrobat required

Language Skills

Fluent in English (verbal & written), Spanish a plus


Physical Demands

Physical requirements can vary. However, the position may require the following physical activities: Ability to lift at least 2 pounds to a maximum of 20 pounds unassisted; sit, stand, stoop, walk, stretch, reach frequently; moderate range of body motions.
