Group Rooms Coordinator

The Group Rooms Coordinator will manage group reservations and group rooms inventory as part of the event planning process. In this role, you will have the opportunity to assist several departments as a central hub of communication and processes for group rooms at our luxury hotel.
Responsibilities
· The Group Rooms Coordinator will work in partnership with Revenue Management, Sales, Front Desk and other operational departments with a focus on managing the hotel’s room inventory to maximize both revenue and quality service levels for guests
· Ensure the hotel is set up for success by appropriately blocking guestrooms and balancing room types to enhance revenue opportunities
· Ensures all group reservations and blocks are entered and maintained accurately.
· Maintains relationship with Event Managers and clients up to arrival, for all matters pertaining to guest room usage
· Block VIPs and identified members into upgraded room types while allocating the proper number of rooms to be reserved for upgrades performed by the front desk that generate revenue
· Tracks no-show and wash history, monitors group pickup, manages rooming list changes, and tracks the inventory for individual call-in groups.
· Prepares and submits various reports, including the tracking/posting of group comps and rebate/commission calculations.
· Prepares for and attends group resume and pickup meetings as well as pre-convention meetings.
· Maintain and audit cut off dates and room inventory for all groups coming to the hotel.
· Answer or assist with guests with group questions.
· Report any group pick up concerns to Director of Revenue Management.
· Monitor room type availability daily
· Has strong technical acumen and attention to detail related to routing, billing, and auditing.
· Reservations duties and responsibilities outside of managing group room blocks will be expected. This includes answering calls in a timely and friendly manner, maintaining systems accuracy, working closely with sales managers for VIP and corporate reservations, providing guests with hotel and facility information, and more.
Qualifications
- Typically requires a high school diploma and 2 to 4 years of experience.
- Must have previous hotel experience.
- Must be proficient in property management systems
- Performs work under general supervision.
- Handles moderately complex issues and problems and refers more complex issues to higher-level staff.
- Possesses solid working knowledge of subject matter.
- May provide leadership coaching and/or mentoring
Preferred Skills1-2 years hotel sales or front desk experience.
Highly organized.
Excellent communication skills & customer service.
