Job Title: Facility & Events Coordinator

We are seeking a highly organized and creative Facility & Events Coordinator to assist the Community Space Manager in the day-to-day facility operations and support event coordination for our community space in Mountain View, CA.

Key Responsibilities:
  • Oversee the daily facility operations of community spaces, including lounges, event spaces, and outdoor areas.
  • Ensure and manage the maintenance, organization, and cleanliness of all spaces.
  • Manage and oversee inventory for site equipment, electronic devices, and uniforms of all spaces.
  • Coordinate and supervise third-party vendors for all requests including maintenance, installations, and other services.
Event Coordination:
  • Assist in planning, curating, and implementing community and corporate events, ensuring seamless execution.
  • Manage the event space booking process in collaboration with the marketing and events team members.
  • Lead on-site event logistics, including technical support and compliance with space regulations.
  • Provide creative solutions for day-of event needs and challenges.
  • Clearly communicate event protocols and guidelines to reserving groups.
Team Support:
  • Support the hiring, training, and scheduling of onsite greeters and other event staff as needed.
  • Maintain and update training materials ongoing and as needed.
  • Capture daily content for digital marketing use.
  • Oversee administrative support to the team, including expense reporting, travel arrangements, and meeting preparation.
Community Engagement:
  • Develop and nurture relationships with local groups, nonprofits, and small businesses to foster community engagement.
  • Assist with the development and implementation of community programming and local event collaborations.
  • Ensure all initiatives reflect Jamestown's values of inclusivity, sustainability, and community involvement.
Requirements:
  • A minimum of 2 - 4 years of experience in site management, event coordination, hospitality, or a related field.
  • Any combination of education, training, and experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.
  • Proven ability to manage multiple projects simultaneously, with strong organizational skills.
  • Excellent communication and interpersonal skills, capable of fostering positive relationships with diverse stakeholders.
  • Acute attention to detail and quality assurance.
  • Strong proficiency in Google Workspace and familiarity with project management software and event management tools is a plus.
  • Creative problem-solving skills, with the ability to adapt quickly to changing conditions.
  • Self-motivated, team-oriented, and capable of working independently with minimal supervision.
  • Strong attention to detail and an ability to manage micro details to ensure project accuracy.
  • Flexibility to work evenings, weekends, and holidays as required by event schedules.
  • Must be able to lift 25 lbs.
