DEPARTMENT: Public Sector Finance
REPORTS TO: Director of Finance, Public Sector
SUPERVISORY RESPONSIBILITIES: No
JOB LOCATION: Varies
TRAVEL: 0-10%
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Answer phones promptly and professionally, direct calls to appropriate parties.
- Monitor company voicemail and properly relay messages.
- Welcome and assist visitors.
- Responsible for incoming and outgoing mail and packages.
- Maintains office supply and breakroom inventory and replenishment.
- Coordinate building maintenance and inspections.
- Email company correspondence and memos.
- Maintain shared calendars.
- Verify and submit vendor invoices for payment.
- Cash application for customer payments.
- Aged Accounts Receivable reporting.
- Crosstrain and assist billing procedures.
- Work client chargebacks.
- File, Scan, and Copy documents as needed.
- Coordinate office events.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS (EDUCATION AND EXPERIENCE):
- High School Diploma or equivalent and 2+ years of office or clerical experience.
- Must be highly skilled in the use of Excel spreadsheets.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong level of organization with excellent oral and written communication skills
- Must have excellent work habits, including a willingness to work the hours necessary to get the job done.
- Demonstrated ability to work calmly in a fast-paced team environment while effectively managing multiple projects.
- Ability to think critically to bring efficiency to processes.
Preferred Qualifications:
- Associate degree in office administration or related field or 2+ of office and bookkeeping experience in leu of a degree.
