Position Overview

The Office Lead/Administrative Assistant will be the first connection our clients have with KWC. In this role, they will manage the reception area and provide support to the staff at our Richmond location while working in conjunction with our Alexandria administrative team. This team member will be responsible for day-to-day office operations and maintaining proper supplies on hand as well as coordinating maintenance requests and firm social events. Proficient multi-tasker with excellent communication skills and an upbeat attitude. Team member assists colleagues and clients by providing polite and professional communication via phone, mail, and e-mail. Daily activities include managing reception area, filing assistance, special projects at request, and firm billing assistance. May recruit, interview, hire, and train junior administrative staff in the department.


Requirements:

  • High school diploma required, Bachelor’s degree in Business Administration or related field preferred.

• At least five years of related experience required. Prior CPA Firm experience desirable.

  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Ability to function well in a high-paced and at times deadline driven environment.

Essential functions:

  • Full time Monday-Friday in office position 8am-5pm with a 1-hour lunch break; Potential for overtime January-April
  • Manage reception area and all front office activity including incoming phone calls and client/vendor foot traffic
  • Oversee office supply inventory and purchasing
  • Coordinate with IT regarding building security during staff onboarding and offboarding
  • Coordinate with IT regarding all conference room and hotel office spaces
  • Monitor and maintain all office utilities
  • Develop and deploy staff appreciation and “spirit” initiatives to support staff morale. Coordinate firm volunteer efforts, plan and execute social events
  • Provide administrative support including but limited to preparing materials for mail, client correspondence, generating internal reports, and other ad-hoc tasks

    Physical Requirements:
  • Sitting: Prolonged periods of sitting at a desk and working on a computer.

  • Lifting: Occasional lifting of boxes and/or paperwork up to 25 pounds.
