Summary/Objective:

Provide business and administrative support to the Project Managers in our Suffolk, VA Industrial Construction department, to ensure that goals or objectives are accomplished within prescribed time frame and funding parameters. A background in some form of construction is preferred.

This is a full time, in office position. Monday-Friday, 8-4:30 pm

Essential Functions:

  • Provides administrative support to account managers
  • Answer the phone to assist customers and technicians
  • Collect daily time records and ensure payroll entries are accurate
  • Process weekly time sheets and accounts payable vendor invoices
  • Assist with preparing reports, excel documents, letters, making copies and submittals
  • Assist with proper operation of software systems and handling of branch financial transactions and documents
  • Call vendors to receive invoicing
  • General clerical duties related to daily operations
  • Issue and track purchase orders
  • Responsible for tracking inventory levels and ordering supplies as needed
  • Oversees the shipment and deliveries of products in the warehouse
  • Handling all aspects of Shipping & Receiving administrative duties
  • Other duties as assigned by the employee's supervisor
Supervisory Responsibility: No

Required:

  • Minimum of a high school diploma and one year of general business administrative experience or equivalent combinations training and related experience.
  • Construction Background Preferred
  • Proficient with Microsoft software
  • Excellent ability to document, communicate, organize and present while preserving a professional and personable manner.
  • Able to multi-task, work with minimal supervision, follow written and oral instructions, show attention to detail, demonstrate problem-solving skills and use simple math
  • Able to pass post-offer pre-employment drug screen and satisfactorily complete additional background checks, as required (i.e. DMV, criminal history)
  • Must adhere to all company policy and procedures
  • Available to work assigned schedules
  • The Position is a full time, in office position Monday - Friday 8-4:30PM

Work Environment:

  • Most work will be performed in a professional office environment and will routinely using standard office equipment
  • This position may require visits to construction sites
  • Some work will be performed in a shop or warehouse environment

Physical Demands:

  • This role routinely uses standard office equipment such as computers, phones, photocopier, filing and fax machines
  • Ability to occasionally lift and carry up to 45 lbs.

Travel:

  • May require infrequent travel or job assignment in/around Virginia area.

Preferred:

  • Prior military experience
  • HS diploma or GED equivalent
