Summary

The Administrative Assistant provides administrative support to the Pastors and Directors of Redeemer Lutheran Church to ensure smooth and effective office operation and maximum efficiency. The Administrative Assistant will act as the first point of contact for Redeemer.

Duties

 Affirm and support the mission and vision of Redeemer Lutheran Church.

 Demonstrate pleasant communication and interpersonal skills, interacting with staff, members, and non-members in a Christ-like, winsome manner.

 Demonstrate proficiency in Microsoft Office, social media, and internet technology. Able to learn and adapt to new technologies as needed (i.e. YouTube, Zoom, Wufoo, Canva, project management software, database software, etc.).

 Able to manage a variety of administrative tasks and processes effectively to support Redeemer’s Senior Staff, including screening calls, managing calendars, planning meetings, making travel arrangements, composing documents, etc.

 Able to work both autonomously and collaboratively among a high-capacity, creative, and energetic staff to meet deadlines.

 Able to work with a variety of personalities to solve problems and achieve stated outcomes.

 Uphold Redeemer policies and procedures

Use project management software to track deliverables, collaborate and communicate with staff members, and support team leaders.

Work with the Director of Operations to manage Redeemer’s front office, including:

o Provide clerical assistance to staff members and volunteers upon request, including (but not limited to) document processing, report production, photocopying, filing, faxing, and emailing.

o Oversee other Office Assistants (Bulletins and Database) to ensure continuity of task and timelines (assisting with data entry and Sunday morning preparation, as necessary).

o Track metrics and provide regular and adhoc reports to Pastors and Directors.

o Receive in-coming calls on multiple-line telephone system, routing calls to appropriate staff member.

o Manage the church calendar (both in-person and virtual meetings).

o Establish and maintain a filing system, ensuring documentation/information is current and can be readily retrieved.

o Greet and offer assistance to members and visitors.

o Sort and distribute in-coming mail.

o Provide clerical assistance to staff members and volunteers upon request.

o Operate and maintain office equipment (video conference appliances, digital kiosk, copier, fax, shredder, etc.).

o Organize and maintain inventory of office supplies.

o Coordinate special projects as assigned.

Attend staff meetings

 Prepare and submit monthly expense reports for Pastors and DOO.

 Participate in annual review with the Director of Operations

 Work to fulfill the mission of this congregation as stated in Article II of the By-Laws and directed by the Director of Operations

Requirements

 Bachelor’s Degree or equivalent work experience

 Two years experience in an administrative capacity
