Position Overview

The Commonwealth of Virginia is in search of a meticulous and dedicated individual to join our team as a Senior Administrative Assistant. This role is essential in providing comprehensive clerical and administrative support to senior management and the operational team. As a Senior Administrative Assistant, you will collaborate closely with various departments and personnel to facilitate effective office operations and ensure the smooth functioning of daily activities.

Key Responsibilities

  • Prepare and manage correspondence in response to routine inquiries while safeguarding the confidentiality of sensitive information.
  • Ensure all communications are formatted according to established guidelines and thoroughly proofread prior to distribution.
  • Maintain accurate records of attendance and benefits in compliance with the Human Capital Management system.
  • Establish and uphold organized administrative files while fostering positive working relationships across the organization.
  • Compile and process necessary reports, maintaining proficiency in various automated systems for data entry and information management.
  • Greet visitors professionally, manage incoming calls, and maintain the office calendar and tracking systems.

Qualifications

  • Proficient understanding of general office practices, basic mathematics, and office equipment.
  • Skilled in typing and operating computers, with a strong command of Microsoft Office applications.
  • Demonstrated ability to manage office operations, prioritize tasks, and make independent decisions.
  • Excellent problem-solving skills and the ability to expedite workflow effectively.
  • Strong communication skills, both written and verbal, with the ability to work independently and collaboratively.
  • High school diploma or equivalent required.
  • Experience in data entry and office services is essential.
  • Eligibility for Virginia Criminal Information Network (VCIN) certification is required.
