A Little Bit About the Position


Join the Gemini Legal team as an Order Records Administrative Assistant, where your precision and organizational skills will be vital in managing client requests and providing robust administrative support within our Client Support department. As a key member of this team, you will be responsible for accurately entering client requests, navigating multiple systems for research, and adhering to standardized guidelines. Your role will require exceptional analytical and problem-solving abilities, along with effective communication skills to interact with various entities via phone, fax, or email.


In this role, you will also be responsible for maintaining an organized calendar and workspace, responding to standard emails within 24 hours, and performing subpoena field prints and other related administrative tasks. You will conduct various types of document scanning and preparation, assist with office and client requests, and provide support to Client Support leadership as needed.   • Location: In-office at our West Covina, CA location
  • Schedule: Monday-Friday, 8:00am-5:00pm
  • Compensation: $19.23-$24.51/hour
Requirements:
  • High school diploma or equivalent required
  • 1+ years of prior experience in a related position involving administrative support and/or data entry
  • Typing speed of at least 35 WPM with 90% accuracy
  • Advanced time management and organizational skills
  • Strong verbal and written communication skills
  • Ability to handle a high volume of work and function in a fast-paced environment, on deadline
  • Self-motivated and directed, with keen attention to detail
  • Proficient using a computer, business phone, office software, video conferencing, and other computer programs including Google Workplace (Docs, Sheets, Calendar, Gmail, etc.)
  • Experience working in an office setting
  • Exceptional teamwork

Functional Requirements

Must be able to perform the essential functions of the position with or without accommodation, including, but not limited to:

  • Lifting, bending, standing, climbing or walking while carrying out assigned duties
  • Lift, push, pull (up to 20 lbs.)
  • Sitting for at least one hour at a time (total: 6-8 hours/day)
  • Keyboarding for extended periods of time (total: 4-6 hours/day)
  • Using a phone with or without a headset for extended periods (total: 2-4 hours/day)
