The Office Property Manager's primary responsibilities include the physical and fiscal responsibilities for three (3) buildings totaling approximately 850,000 square feet in Arlington (Ballston), VA. This position is supported by a 2-person accounting team, 7 engineers and another property manager. To achieve this, the Property Manager must oversee and coordinate periodic Ownership, Lender, and Accounting reporting requirements for the building/portfolio. The position includes the process of building a business plan and budget for the buildings on an annual basis and carrying out those business plans within the approved budget each year. The position also includes tenant relations and retention, lease administration, contract administration, and occasionally support of the leasing marketing efforts on the Landlord.

Administration & Management

  • Collaborate with our other Property Manager and other onsite staff to ensure that the day-to day operations of the buildings are in keeping with us.
  • Assist with the development and implementation of standard operating procedures in areas which are key to providing quality customer service, minimizing risk, and increasing value at our properties.
  • Prepare monthly status reports for the Landlords and Lenders in a timely manner and with the assistance of the accounting staff, engineering staff and other property managers. Engaged in Department Head Meetings to review the budget, status of projects, tenant issues, leasing, etc.
  • Manage and oversee all lease and contract administration to ensure compliance with all office lease provisions.

Tenant Relations

  • Provide outstanding customer service at all times.
  • Responsible for regular and positive interaction with tenants, through regular site visitations, telephone contacts, in-person contact and tenant evaluations.
  • Coordinate the planning and execution of special Tenant Events such as lobby parties, holidays and special requirements of tenants.
  • Facilitate the reservation process of 4040 Wilson Office Conference Center with all office tenants Ensure that all tenant requests for services are completed in a timely and efficient manner by coordinating with engineering staff and/or outside contractors.

Building Maintenance

  • Maintain building in a first-class manner.
  • Implement and recommend capital improvements and emergency repairs as needed. Oversee capital and tenant improvement projects
  • Ensure that all components and areas of Risk Management are in place including preparation and administration of fire/life/safety events, incident reports, weather related events, and the administration of vendor and tenant insurance certificates and coverage limits.

Vendors & Contract Management

  • Negotiate, execute, and monitor all maintenance contracts involved in the upkeep of the building(s).
  • Develop a core of key vendors that understand our philosophy and provide service to us. Ensure that contract services are cost effective and high quality while cultivating a team relationship with key vendors.

Financial & Budget Management

  • Prepare and manage annual operating budgets for all assigned buildings in accordance with the terms of the management agreement, lender requirements and our Management/Ownership Prepare and coordinate the Real Estate Tax and Operating Expense Base Year and reconciliation process with office tenants.
  • Prepare, monitor and implement long term capital improvement plans.
  • Monitor rent collections with the accounting department and handle any delinquencies, with the support of Accounting Team
  • Rent roll administration.

Preferred Qualifications

  • Competitive candidates will have at least 5 years of prior real estate office property management experience, including Full Service and NNN lease administration.
  • Experience with MRI
  • Experience with GSA leased/owned buildings
