Prairie State Legal Services, Inc. is seeking a candidate to join our team in the Telephone Counseling Department. Office and Intake Specialist Manager at PSLS provides a wide range of administrative support to ensure the department runs smoothly. PSLS provides a wide range of legal support to some of the most vulnerable members of our communities, with a focus on assisting with legal problems that impact the ability of our clients to meet their basic human needs, including physical safety, access to healthcare, adequate housing, and financial stability. PSLS is the only legal aid organization in the majority of our area, and we pride ourselves on providing high-quality legal services to our clients while fostering a work environment that is motivating, collaborative, and rewarding, with plenty of opportunities for professional growth.

Responsibilities
Among other duties as assigned, the Office and Intake Specialist Manager will:

  • Supervise all the day-to-day work of the Telephone Counseling Intake Specialists
  • Manage the administrative operations of the PSLS Telephone Counseling service
  • Oversee administrative tasks such as managing phone tree and online intake settings
  • Process time sheets for all TC Staff
  • Manage reimbursement forms to Admin for reimbursement
  • Work with the Director of Intake Services to hire intake specialists
  • Work with HR to onboard all new staff
  • Visit the office of the new staff to complete onboarding and provide equipment
  • Order and maintain office supplies for Telephone Counseling staff
  • Address client inquiries, concerns, and feedback promptly and professionally
  • Conduct client intake as needed
  • Telephone Counseling Service staff work remotely; travel to the West Suburban office will be required for training and meetings

Salary and Benefits
The Office Manager position is a full-time position at 37.5 hours per week. PSLS offers a salary that is competitive with similar organizations. The salary range of this position is $38,000 to 48,983 annually. The starting salary for the successful candidate will be determined based on prior relevant experience. Qualifications

  • High School Diploma, GED, or equivalent and either one additional year of relevant education or three years of experience in the legal field
  • Excellent organizational skills
  • Excellent oral and written communication
  • Strong computer skills, including proficiency using Microsoft Word and Excel
  • Strong interpersonal skills and the ability to work effectively as a team member
  • The ability to cultivate and maintain strong relationships with program volunteers and community leaders
  • The ideal candidates will have a demonstrated commitment to serving disadvantaged populations, and we will give preference to candidates who have knowledge of poverty law and experience providing services to low-income individuals.
  • Spanish language proficiency is preferred but not required
