Position Summary
The Outreach Intake Supervisor plays a pivotal role in the Community and Economic Development Association by overseeing a dedicated team of Outreach Intake Specialists. This position is responsible for ensuring that community members have access to essential programs and services. The Supervisor will focus on mentoring team members, setting clear objectives, and implementing standardized intake processes while collaborating with various stakeholders to facilitate smooth transitions throughout the application journey.
Key Responsibilities
- Lead and mentor a team of Outreach Intake Specialists, providing necessary training and constructive feedback.
- Set and monitor performance benchmarks for the team in alignment with departmental objectives.
- Design and enforce standardized intake procedures to promote efficiency and uniformity.
- Develop outreach initiatives that integrate intake strategies to support organizational goals.
- Address escalated inquiries and complex cases, ensuring effective resolutions or appropriate referrals.
- Examine intake data to uncover trends, identify improvement opportunities, and highlight areas needing attention.
- Conduct regular audits of intake applications to verify accuracy and compliance with organizational policies.
- Collaborate with internal and external teams to ensure seamless transitions between intake and subsequent processes.
- Prepare analytical reports to support strategic decision-making regarding ongoing intake initiatives.
- Encourage a culture of continuous improvement and learning within the Outreach Intake team.
- Manage team schedules to meet fluctuating intake demands.
- Establish communication protocols for both onsite and remote intake activities.
- Perform additional duties as assigned.
Required Skills and Qualifications
- Strong verbal and written communication skills, along with effective organizational and interpersonal abilities.
- Proven leadership skills with the ability to inspire and motivate a team.
- Detail-oriented with a commitment to maintaining confidentiality and professionalism.
- High integrity and a strong focus on customer satisfaction.
- Experience in community service or outreach, particularly in the nonprofit sector.
- Familiarity with Energy Assistance Programs or similar social service operations.
- Bilingual capabilities, especially in Spanish, are preferred.
- Understanding of the challenges faced by low-income populations or a willingness to learn.
- Ability to build relationships with diverse groups and stakeholders.
- Proficient in Microsoft Office Suite and familiar with design software such as Adobe and Canva.
Supervisory Duties
This role includes the supervision of Outreach Intake Specialists within the Energy Services Program.
Work Environment
The position involves fieldwork with occasional office duties in a moderately quiet environment. The employee will engage in various physical activities, including sitting, standing, and walking, and may need to lift items up to 30 pounds.
Education and Experience Requirements
- Associate's degree with two years of supervisory experience, or
- Three or more years in a supervisory capacity.
- At least one year of experience in Outreach or Community Engagement.
- A valid Driver's License is required within 30 days of hire.
