Work Hours: 25-30 hours per week onsite Monday – Friday. Start and end time are flexible but must be during core work hours of 8am-4pm, at least four days per week and a set schedule once established (for example: 9am-2pm M-F or 8am-3pm M-Th).

Bead Industries, Inc. is a small but growing manufacturer dedicated to providing custom connector pins and assemblies our customers. We pride ourselves on our innovative approach and strong customer service. We are looking for a motivated and organized individual to join our team as an Office Manager / Bookkeeper.


Summary:

The Office Manager / Bookkeeper will play a critical role in managing our day-to-day administrative operations and ensuring the accuracy of our financial records. This position requires someone who is detail-oriented, has strong organizational skills, and can manage multiple tasks efficiently. The ideal candidate will have experience in both office management and bookkeeping, including Accounts Payable (AP) and Accounts Receivable (AR).


Key Responsibilities:


Office Management:

  • Manage general office duties such as answering phones, handling mail, ordering supplies, and maintaining office equipment.
  • Provide administrative support to the management team, including scheduling meetings, preparing reports, and handling correspondence.
  • Oversee office organization and cleanliness, ensuring a productive and efficient work environment.
  • Assist with HR tasks such as onboarding new employees, maintaining employee records, and coordinating company events.


Bookkeeping:

  • Maintain accurate financial records using accounting software.
  • Process accounts payable (AP) by entering and paying vendor invoices.
  • Manage accounts receivable (AR), including invoicing customers and following up on outstanding payments.
  • Reconcile bank statements and ensure the accuracy of financial transactions.
  • Assist in the preparation of monthly, quarterly, and annual financial reports.
  • Support the preparation of budgets and forecasts.
  • Collaborate with external accountants during audits and tax preparation.


Qualifications:

  • Proven experience as an Office Manager, Bookkeeper, or in a similar role.
  • Proficiency in accounting software (e.g., QuickBooks) and MS Office Suite (Word, Excel, Outlook).
  • Strong understanding of basic bookkeeping principles and practices.
  • Excellent organizational and time-management skills.
  • Ability to handle confidential information with integrity and professionalism.
  • Strong communication skills, both written and verbal.
  • Attention to detail and accuracy in financial record-keeping.


Preferred Qualifications (but not required):

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Experience in a manufacturing environment.
  • Knowledge of payroll processing and HR functions.
