We're looking for a talented and motivated Administrative Assistant to join our Providence team.

Responsibilities

The Administrative Assistant provides a wide variety of support for the Providence office including business development, client services and operations. Workload priorities are clarified under the direction of Head of Wealth.


In addition to special project work supporting the above-mentioned departments, the administrative assistant is the first point of contact for all clients visiting the office. This position is well-suited for a person with a naturally positive and professional disposition.


  • Welcoming clients and answering telephones
  • Processing daily office mail, UPS, FedEx, etc.
  • Monitoring and maintaining office supplies and equipment; liaising with vendors
  • Preparation for client meetings, ordering food as needed
  • Document archiving
  • Client database management (Salesforce)
  • Maintaining public and private calendars
  • Preparing client meeting materials
  • Scheduling travel/appointments for leadership team
  • Processing employee expenses and preparing expense reports

Qualifications

  • Associate's degree or B.A./B.S. degree preferred
  • Seeking a candidate who is highly motivated and willing to multitask, while still paying strong attention to detail
  • Previous administrative experience a plus, financial services or professional services industry experience preferred
  • Strong verbal and written communication skills, as well as exemplary interpersonal skills when working with clients and prospects
  • Excellent computer literacy and experience in PowerPoint, Excel, Word, and PDF editors as well as Salesforce familiarity
  • Excellent time management skills and the ability to prioritize work
  • Knowledge of general office administration and office equipment
