Job Title: Human Resources Coordinator

Report To: VP-CFO/President-CEO/EVP

General Purpose


Provides supports for the daily operation of the human resources function, including recruiting, staffing, and benefits administration. Responsible for working all areas of Human Resources as assigned.


Essential Duties/Responsibilities

  1. Remains current on changes within the legal, regulatory, economic, and competitive and technology environments, which may affect the human resources function. Ensures human resources materials are in compliance with applicable federal and state regulations.
  2. Develops and conducts individual and group training for employees on HR-related topics as needed. Develops and participates in formal and informal classroom, on-the-job, cross training, orientation programs, and supplemental training materials.
  3. Tracks performance appraisal process and job description development. Responsible for ensuring credit union adheres to EEO guidelines in hiring practices and job development.
  4. Administers health and welfare plans such as medical, dental, vision, basic life, dependent life, flexible benefits for medical and dependent care, including enrollments and terminations, as needed.
  5. Assists with processing monthly billings from insurance providers. Reviews billings for accuracy, codes and advances for payment. Resolves discrepancies with carriers, payroll and the company. Completes reports for management as requested.
  6. Coordinates health, life and disability insurance enrollments and communicates with service providers concerning routine administration of programs.
  7. Files Workers’ Compensation claims as needed. Maintains Workers’ Compensation files and ensure that claims are monitored for payment.
  8. Assists in maintenance of central employee records and personnel files, including employee applications and all records pertinent to employment. Ensures that all employee-related documents are kept confidential and all record retention policies are followed.
  9. Conducts all personnel functions in accordance with applicable statutes (e.g., EEO, OSHA, Fair Labor, etc.).
  10. Maintains employee information in the HRIS (Great Plains) which includes address changes, pay codes, salary changes, benefits changes, terminations and resignations, etc.
  11. Assists with tracking information for reports given to President, such as Employee NSF occurrences, Employee Referral Tracking, Group Insurance Analysis, Employee Turnover, Community Involvement Hours, and Teller Balancing.
  12. Assists in the development and maintenance of job descriptions.
  13. Recruit and analyzes information provided on prospective employees’ application forms and determines suitability for employment.
  14. Assists in preparing presentation materials and handouts for credit union staff meetings, educational and/or training sessions, and employee orientation sessions.
  15. Recruits, interviews, check references, and conducts orientation for new employees, and ensures that personnel are informed of human resources policies and programs as needed.
  16. Remains current on changes within the legal, regulatory, economic, competitive and technology environments, which may affect the employee benefits provided.
  17. Consults with and advises employees on eligibility for insurance and other benefits. Maintains benefit records and prepares documents necessary for implementing benefit coverage.
  18. Assists in yearly benefits enrollment process and enters employee’s election data into system. Ensures that all applicable documents are completed and filed in accordance with enrollment procedures.
  19. Arranges interviews for hiring managers, gathers and tracks applicant information.

20. Maintains and updates employee records and reports in a timely way and prepares special reports as requested.

21. Prepares routine to complex correspondence on a variety of subject matter relating to Human Resources.

22. Attend annual training on BSA/AML to remain current on any changes to these policies and procedures and remain compliant.

23. Responsible for completing Information Security Awareness training as directed by management.

24. Responsible for complying with GLBA, Safe Act, Regs B, D, E, CC, Z and other regulatory requirements.

25. Participates in the Community Involvement goals of the credit union.


Additional Duties/Responsibilities

  1. Keeps abreast of financial trends by reading pertinent materials and attending appropriate staff meetings.
  2. Organize community activities as needed.
  3. Responsible for maintaining a current Learning Action Plan in conjunction with the Performance Management System.
  4. Perform additional duties as directed by management.


Requirements:

This position requires a four-year college degree and 3-5 years of human resources experience that provides an understanding of applicable laws regarding employment actions. Requires a commensurate level of language, math and reasoning skills. Formal training should be supplemented with continuing education. Proficiency in usage of various software in compiling data and preparing reports.


Proficiency in or knowledge of using a variety of computer software applications, especially Excel, Power Point and Microsoft Word software. High level of interpersonal skills to handle sensitive and confidential situations and documentation. Knowledge of office administration procedures. Ability to operate most standard office equipment. Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Good to excellent spelling, grammar and written communication skills. Excellent telephone and oral communication skills. Ability to maintain a high level of confidentiality.


Supervisory Responsibilities

None.


Work Environment/Physical Activities

This is basically a desk assignment. The job calls for a high degree of mental concentration to interpret and act upon a wide range of situations. The job requires a high degree of attention to details.


Job requires access to credit union’s network and core data processing system. Core system roles are assigned by Divisional Vice President.
