POSITION SUMMARY

The Education Projects Specialist helps ensure effective operations across the Education department, efficient administration of education programs, and support for education department projects. This includes responsibilities in department finances, developing project plans, ensuring follow-up on project activities, and committee engagement.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Education Department Finance & Operations

  • Creates or supports project plans that ensure effective operations of the Education Department
  • Facilitates the development of the department budget, reviews monthly financial statements, prepares quarterly budget projections, and addresses requests from Finance during the audit process.
  • Processes department invoices and reimbursement requests.
  • Leads vendor communication, payment, and procurement for Department activities.
  • Develops expertise in the financial and contractual administration of grant funded projects.
  • Prepares, reviews, and maintains department standard operating procedures
  • Maintains department compliance with ASH administrative policies (travel, document retention, etc.)
  • Regularly reviews and coordinates updates to the webpages related to the department’s initiatives.
  • Coordinates preparation of departmental documents for the quarterly Executive Committee meetings, bi-weekly Officers’ Calls, and as-needed Continuing Medical Education Accreditation Committee and Annual Meeting Accredited Education Committee requests.

Volunteer Engagement & Department Projects

  • Supports the Director of Education in their role as the staff liaison to the Committee on Educational Affairs, Program Committee, Annual Meeting Accredited Education Committee, and the CME Accreditation Committee, including:
    1. Ensures effective and efficient scheduling of meetings and conference calls.
    2. Prepares and compiles agendas and other meeting materials.
    3. Ensures timely review of committee and subcommittee nominations.
    4. Writes meeting minutes and helps to ensure follow-up on approved action items.
    5. Provides expertise in the use of technology to support virtual and hybrid committee meetings
    6. Supports committee sponsored projects and programs through effective project coordination
  • Supports the Manager, Sickle Cell Disease (SCD) Education, in their development of SCD focused projects, programs, and events, including:
    1. Coordinates with department team members and other internal ASH departments to follow-up on assigned action items and deliverables
    2. Help manage the speaker invitation process, relationships subject matter experts, and participate in regular collaborator meetings.
    3. Assists in the review of educational content for digital education programs and workshops for quality and compliance
    4. Work with the LMS administrator to ensure proper functioning of the site and implementation of needed improvements for CME-eligible educational programs
    5. Support program evaluation by helping develop online evaluation forms, meeting surveys, and compiling data
    6. Provides on-site support to live SCD education programs as needed
  • Supports the Manager, Sickle Cell Disease Education, in their role as the staff liaison to the SCD Health Professionals in Education and Training Working Group through scheduling, preparing meeting material & minutes, and following-up on assigned action items

QUALIFICATIONS, KNOWLEDGE SKILL REQUIRED

  • Bachelor's degree required
  • Minimum of 3 years of administration, operations, or project management experience
  • Strong orientation to the use of technology and process improvement.
  • Comfortable learning online systems for budgeting, project management, and other administrative functions
  • Detail orientation, with excellent organizational and follow-through skills
  • Excellent oral and written communication skills
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint
  • Experience in handling confidential information
  • Customer service experience or prior work with a membership organization strongly preferred
  • Certification or coursework in project management preferred
  • Prior experience in a not-for-profit environment preferred

PHYSICAL REQUIREMENTS

Requires ability to effectively communicate and listen actively.

Requires ability to use computers, telephones, and other office equipment.

Requires periodic out-of-town travel and attendance at ASH-sponsored meetings and events outside of normal working hours (evenings and/or weekends).

ASH has a hybrid work environment, with core in-office days for all ASH staff on Tuesdays, Wednesdays, and Thursdays, and telework on Mondays and Fridays for eligible positions. The Society’s headquarters is in Washington, DC, and is within walking distance of several Metro stations on the Blue/Orange/Silver and Red lines.
