Executive Administrative Assistant

 

Reports To: Founder/Senior Consultant

Position Overview: We are seeking an experienced and dedicated Executive Administrative Assistant to provide unparalleled support to our Founder and Senior Consultant. This role is pivotal in facilitating efficient operations and ensuring the success of our executive team. The ideal candidate will exhibit exceptional professionalism, impeccable organizational skills, and the ability to handle a diverse range of tasks.


Role and Responsibilities:

Executive Support:

Manage the founder and senior consultant's demanding schedules, coordinating appointments, meetings, and conference calls.

Prioritize and manage incoming emails, calls, and correspondence, ensuring timely responses.

Prepare, proofread, and edit documents, presentations, and reports to uphold accuracy and quality.


Communication and Liaison:

Act as a liaison between the executive team, internal staff, clients, and external partners, fostering effective communication.

Draft, review, and disseminate professional communications, announcements, and memos.


Project Management:

Assist in coordinating and tracking projects and deliverables, ensuring deadlines are met.

Collaborate with cross-functional teams to facilitate project-related tasks and enhance efficiency.


Travel and Event Coordination:

Plan and manage travel arrangements, including flights, accommodations, and ground transportation.

Coordinate logistics for executive meetings, workshops, seminars, and events. 


Attend weekly meetings as requested by Founder/Senior Consultant. 


Information Management:

Maintain confidential records, files, and documentation, safeguarding sensitive information.

Organize and archive documents, ensuring efficient retrieval and retention.


Schedule:

8-hour shift

On call weekend availability 

Willingness to travel 25% (Required)


Work Location:

In Person/Hybrid


Miscellaneous Tasks:

Process expense reports, invoices, and financial documentation accurately and efficiently.

Undertake ad-hoc tasks and special projects, demonstrating flexibility and adaptability.


Qualifications:

Proven experience as an Executive Administrative Assistant or similar role, preferably supporting C-suite executives or senior leaders.

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.

Exceptional organizational skills with a keen attention to detail and the ability to manage multiple tasks.

Strong written and verbal communication skills, projecting a professional and polished image.

High level of discretion, integrity, and the ability to handle confidential information.

Strong problem-solving and decision-making capabilities.

Ability to anticipate needs, take initiative, and thrive in a fast-paced environment.

Associate or bachelor's degree in business administration or related field preferred.
