About the Position
With a focus on department administration/operations and customer service, the Development Coordinator will work closely with the Associate Director of Development, Membership and Development Manager, and other members of the Development team to provide support in fundraising activities and donor engagement. Duties will include a range of administrative support including data entry and list management, reporting, research support, gift reconciliation support, writing/communications, and additional projects as assigned. This position will work with sensitive donor and gift information and must adhere to strict confidentiality.
Reports To: Associate Director of Individual Giving
Primary Responsibilities

  • Ensure a timely and accurate gift entry and acknowledgment process for all gifts and memberships, including documentation and follow up of verbal and written pledges. Prepare and send prompt acknowledgement letters by preparing data, merging, customizing language, printing, distributing for signatures, documenting in database, and mailing.
  • Work with Finance staff to ensure that all contributions - including all types of individual gifts, memberships, sponsorships, and grants - are received, entered, and accurately tracked by both Development and Finance.
  • Ensure that information in the Salesforce CRM is accurate and complete.
  • Assist with researching, building, and maintaining donor and prospect lists and profiles. Prepare solicitation lists for annual giving and membership campaigns, and coordinate data needs for email and direct mail efforts.
  • Assist with implementation of ongoing moves management process that incorporates appropriate and personalized cultivation, solicitation, and stewardship steps to increase donor and prospect engagement with SIFF.
  • Provide support to the SIFF Development Committee by taking meeting minutes and helping to coordinate any post-meeting follow up and next steps.
  • Provide excellent customer service and support to SIFF donors, sponsors, members, and patrons.
  • Manage SIFF Membership and SIFF Giving email inboxes, answering incoming questions and providing assistance or asking for help with solutions when needed.
  • Help with event preparations including the management of invitation and guest lists, materials, and informational documentation when needed.
  • Support the Associate Director of Development with work on the Table Captain campaign during SIFF’s annual fundraising Gala.
  • Support the Development team’s collaborative work with the Marketing and Communications department on the administration of promotional materials, mailings, and community outreach projects.
  • Coordinate donor benefit fulfillment including tangible items and event invitations.
  • Provide administrative support to the Associate Directors of Grants and Sponsorships with proposals, grant requests, and reporting as needed.
  • Support the Development team with special projects as needed.
  • Other duties as assigned by the Associate Director of Development.

Qualifications

  • High School diploma or equivalent required; Bachelor’s degree, preferred.
  • 1-3 years prior experience in non-profit fundraising, with knowledge of development best practices, is preferred.
  • Strong attention to detail, data entry and time management skills.
  • Excellent verbal and written communications skills. Enjoys and excels at providing high-level customer service and working effectively with diverse constituencies including SIFF staff, donors, members, and patrons.
  • Enjoys working with data and has a mindset geared toward efficiency and accuracy.
  • Self-motivated, ability to work independently, problem solve, and actively seek assistance when needed. Also able to collaborate in a team setting.
  • Highly organized with the ability to manage multiple projects simultaneously.
  • Ability to interpret a variety of oral and written instructions.
  • Experience with CRM, ticketing, and/or donor database software required. Proficiency in Google Suite, knowledge of project management software, and familiarity with online research preferred. .
  • Comfortable working with, and providing assistance to others, via Zoom, Google Hangouts, and other virtual platforms for meetings and events preferred.
