Job DescriptionJob Description

We are looking to employ a maintenance administrative assistant with basic knowledge of residential and commercial maintenance work order management or experience in office administrative skills and duties. A maintenance administrative assistant is expected to have fantastic organizational and time management skills. You will possess excellent communication skills with a great eye for detail.
 

The maintenance administrative assistant will be responsible for assisting with scheduling and communicating with multiple teams of maintenance crews, inputting data into maintenance related software & spreadsheets, calling tenants to schedule visits, assisting the daily duties of the maintenance coordinator and other maintenance staff.
 

 

DUTIES & RESPONSIBILITIES

-Follow up of completed work with techs, property managers, agents, and tenants.

-Assisting with scheduling deliveries of materials, appliance pick ups, and any third party work.

-Assist with contacting vendors for material purchases.

-Updating all reports of work orders and repairs in Rent Manager software or related systems.

-Tracking, filing, and submission of all receipts, invoices, and payments with accounting.

-Assisting with entering jobs into timesheets of all hourly maintenance technician employees.

-Contacting current tenants by phone and email to schedule appointments and visits.

-Filing paperwork for maintenance teams, vendors, and others as needed.
 

 

EDUCATION & TRAINING

High school diploma 

Higher education in related field is a plus.

 


KNOWLEDGE & EXPERIENCE

Comprehensive knowledge of administrative tasks and proficient computer skills.

Minimum of 1 year of experience of related work (preferred).
 


SKILLS & ABILITIES

Reliable transportation and valid driver’s license.

Ability to communicate effectively is a must. Bilingual is a plus.

Excellent time management skills.

Professional phone etiquette and customer service
 

 


WORK ENVIRONMENT

Professional office setting


HOURS / SHIFTS

 7 am to 4 pm; Monday through Friday 


Pay

 $16 - $18 / hr

PHYSICAL REQUIREMENTS

This job is primarily administrative in nature and will typically be working in an office setting. The chosen candidate may at times be asked to lift items up to 50 lbs.
