Role:

The Project Coordinator is responsible for handling administrative tasks for client onboarding projects, as well as overseeing special projects to enhance our systems to support new equipment and workflows. The Coordinator will learn InfoSend’s data processing applications, internal communications protocols, and project management workflow. The coordinator role will support existing and/or new client onboarding by taking detailed notes during project calls and following up with internal and external stakeholders to make sure that objectives are being met in a timely manner. The Coordinator will also work with our internal departments to implement routing projects to apply system enhancements to existing applications to facilitate faster and more efficient handling in our production departments. These projects require that changes are implemented accurately and tested prior to releasing the work into our production environment.


Monday-Friday 7:30am-4:00pm PST

Training Schedule 8:30am-5pm PST


Responsibilities:


Project Support

  • Take an active role in providing administrative support for key client on-boarding projects
  • Track and manage responsibilities and deliverables for internal and external stakeholders during the project
  • Monitor the project to ensure that activities are done on-time and accurately in order to adhere to the project schedule, take corrective action with stakeholders where needed to keep project on schedule
  • Interface with clients and InfoSend teams to provide regular status reports and reminders to support the project
  • Escalate concerns about potential delays to InfoSend management

Internal Upgrade Projects:

  • Work with InfoSend’s Client Services team to identify clients and projects which will receive the feature update
  • Work with InfoSend’s IT team to implement the required changes to specific programs, following precise set-up guidelines
  • Verify content and placement of barcodes on the back of documents
  • Coordinate with InfoSend’s production teams to test barcodes, as needed. This may include reviewing printed material.
  • Coordinate with Client Services and IT teams on applying programming updates to combine jobs for production
  • Apply changes in configuration settings to support combining jobs
  • Test and monitor live production jobs to ensure applications function as expected
  • Coordinate rollouts and new setups on an ongoing basis
  • Other duties as assigned

Qualifications:

  • 1-2 years’ experience in a Project Coordinator role or relevant experience
  • Must have at least 2 years of project management experience in Business-to-Business environment
  • Must be organized and detail oriented, complete tasks in an accurate and careful manner
  • Technical analytic skills required
  • Excellent verbal and written communication skills; ability to write in a polished and professional manner required
  • Must be proficient in Microsoft Word, Excel, PowerPoint, and working in a corporate network.
  • Must be proficient in general internet usage
  • A Bachelor’s Degree from a 4-year college is preferred
  • Team player, ability to work well with others
  • Data analysis experience preferred
  • Experience working with Adobe Creative Suite Is preferred

Job Type: Full-time

Pay: $23.00 - $25.00 per hour
