Planned Parenthood of Orange and San Bernardino Counties is seeking a full-time Project Coordinator for Information Technology/Systems. This role will serve as an administrative liaison between the IT/S department and the organization, driving initiatives that enhance the technological framework for PPOSBC. The selected candidate will be responsible for all administrative aspects related to the initiation and execution of technology and software projects, as well as operational technical initiatives within the department. Reporting directly to the Director of Performance and Improvement, this coordinator will engage with various departmental teams and leaders to facilitate tasks within projects, ensuring the successful delivery of medium to large-scale initiatives.

- 2 - 3 years of experience managing large-scale projects.
- Experience in the information technology sector, ideally within a healthcare organization.
- Familiarity with project management principles, including Lean Sigma, Agile, or other methodologies.
- Knowledge of Agile, Waterfall, or other Software Development Life Cycle (SDLC) methodologies.
- Provide administrative support and project coordination for a diverse array of projects within the information technology department, including project organization, calendar management, deliverable tracking, and other project-related tasks using established standards and methodologies.
- Oversee and review project tasks and deliverables in project management software or collaborative platforms to ensure successful project delivery within scope, timeline, and budget, escalating any risks or issues to the PIO director as necessary.
- Manage all aspects of information technology projects from initiation to execution, ensuring successful delivery within the defined scope and timeline.
- Create and maintain comprehensive project documentation, including meeting minutes, project plans, stakeholder registers, timelines, milestone trackers, and project dashboards.
- Monitor project progress and collaborate with the project team to inform key stakeholders of identified issues and risks, ensuring critical items are escalated to the PIO Director.
- Utilize project management tools and software to maintain organization and effectively manage projects.
- Facilitate timely communication with all stakeholders by assisting in meetings and communication plans as needed.
- Engage consistently with stakeholders, key individuals, and departmental team members to ensure alignment with project goals.
- Work closely with the PIO Director to minimize scope creep and schedule variances.
- Collaborate with information technology partners to manage vendor sourcing for technology solutions.
- Align project deliverables with performance improvement objectives, organizational strategic goals, and the technology ecosystem to enhance organizational efficiency.
- Assist in the creation and management of technical documentation for information technology and system projects.
- Stay informed about industry trends and best practices in healthcare information technology and project management.
- Support and engage in departmental operations, including project template management, project management webpages, best practices libraries, project research, and other departmental activities.
- Collaborate and build partnerships within the department to foster optimal organizational cohesiveness.
- Engage team members, colleagues, leaders, and others in timely communication with a high level of professionalism.
- Facilitate decision-making among stakeholders and escalate complex issues as directed by the PIO Director.
- Exhibit advanced organization, time management, and communication skills.
- Other duties as assigned.
