Volunteer Engagement Coordinator Job Description:

This person is responsible for recruiting, planning, organizing and directing the volunteer and community engagement program associated with Beacon Hill (a.k.a. Beacon Hill Preparatory Institute). The position focuses on the development of the volunteer program, including the cultivation, recruitment, placement, tracking, training, and recognition of volunteers at Beacon Hill’s corporate office, In-School, After School, Summer, and Parent Academy programs as well as coordinating these same efforts for continuity with all program locations across the organization. This position is also responsible for establishing community relationships that facilitate individual and group volunteer involvement in Beacon Hill’s (BH) mission. The Volunteer and Community Engagement Coordinator will lead the Volunteer Committee on the Educate Now Council at the local school locations, facilitating communications with staff members, Campus Managers and Community Liaisons of different schools and departments about the volunteer needs within the local schools and community.

As a Community Engagement Coordinator, you will be responsible for overseeing the tasks needed to successfully promote and execute all Corporate, Parent, and campus events pertaining to volunteering and special projects at Beacon Hill and the campuses and communities we service.

Reports to Human Resources Manager

Duties and Responsibilities – Volunteer Coordinator

· Develop, Pilot and Implement a volunteer program for Beacon Hill, including volunteer recruitment, recognition and training. Organizes, coordinates and manages volunteer experience, processes, and procedures.

· Build a portfolio of 250 active individual volunteers.

· Generate an annual total of 7000 Volunteer Hours.

· Establish a portfolio of a minimum of 10 corporate and community organization volunteer groups.

· Coordinate with Development team to maintain portfolio of existing corporate and foundation volunteers.

· Generate an annual minimum of 100 corporate volunteer hours.

· Develop and foster strong, positive relationships with new and existing colleges and community organizations and individuals to develop and/or utilize volunteers where appropriate. This includes volunteer fairs, workshops, and trainings.

· Develops and Implements training programs for all volunteers, including onboarding orientations and ongoing volunteer feedback. May work with other staff to deliver volunteer training specifics for volunteer tasks.

· Assess volunteer skills, interests, availability and reliability for best assignment; meets with volunteers one-on-one to interview them and provide clarification about volunteer job opportunities.

· Maintain volunteer databases, volunteer manual and updated records on all volunteers and runs statistical reports when necessary. Schedule volunteers through the Volunteer tracking system (Bloomerang Volunteer) and supervise volunteer staff, maintaining a volunteer schedule. Coordinate and works with other Beacon Hill staff to manage the volunteer schedule as needed.

· Track, maintain and survey Volunteer hours and interest on a timely basis. Including, but not limited to, staff, interns, parents, community partners and others as required via Bloomerang Volunteer.

· Leads volunteer committee meetings. Acts as a liaison between staff and volunteers and reports to Human Resource Manager on volunteer activities as needed.

· Represents Beacon Hill in the community at trainings, workshops, meetings and other volunteer related functions.

· Responds professionally and promptly to all incoming calls, emails, inquiries and volunteer requests.

· Maintain, update and respond to volunteer requests utilizing Bloomerang Volunteer (and other software utilized by Beacon Hill).

· Work with the Development Manager and Marketing Coordinator to produce a volunteer newsletter to help keep volunteers informed.

· Evaluates volunteer satisfaction and volunteer program effectiveness through established surveys.

· Attends staff meetings to stay informed about upcoming volunteer opportunities.

· Develop and Lead the Volunteer Committee (Comprised of A Campus Manager and representative from Operations) on the Educate Now Council at the local school locations, facilitating communications with staff members, Campus Managers and Community Liaisons of different schools and departments about the volunteer needs within the local schools.

· Ensure Beacon Hill Volunteers needs are communicated to the Human Resources Manager and Development Manager (corporate or Donor activities).

· Performs other duties as assigned.

· Submit a monthly reconciliation report of Volunteers and Volunteer hours to HR Manager, Development Manager and Accounting Associate.

· Develop volunteer appreciation events/activities to ensure volunteers are acknowledged annually.

· Ensure volunteers are trained prior to assignment.

Community Engagement Coordinator Job Description:

- Plan, organize, coordinate, and direct special events

· Act as external event liaison between the client, (parent, donor, district, etc...) and special event coordinator.

· Coordinate with special events coordinator to ensure all logistics for third-party logistics, (including but not limited to, florist, catering, and photography) to ensure seamless presentation and positive brand experience.

· Coordinate with Development Department to generate proposal packets and thank-you letters to send to potential community clients.

· Identify and establish relationships with all Community Liaisons and community organizations for all campuses BH services

· Establish a list of projects from all schools BH services with the Districts’ Community Liaisons.

· Attend at least 4 community/neighborhood meetings for BH schools per year (1 per quarter) · Collaborate with Development/marketing to support the development of concepts and designs, and coordinate mailings of promotional materials and invitations; and direct logistical planning

· Ensure information is shared with Development/Marketing for social media platform marketing to include Facebook, X (formally known as Twitter), LinkedIn, and website content.

· Maintain records on event activities, progress, status, and post event summary.

· Attend events to oversee activities and ensure details are handled as planned, inside and outside of BH.

· Address any issue that may arise and will remain on site after the event is over to ensure proper clean up.

· Work with and give guidance to volunteers and staff involved in event planning and execution.

Hours: 40 hours per week

Pay Rate:  The position is full-time salaried at a rate commensurate with experience. If selected for the position there is an unpaid flexible volunteer orientation of 20 hours to be completed around your schedule.

Travel Requirements: In-state travel to Staff Development, Professional Development, Team Building events and other locations deemed necessary as part of job responsibilities.
