SCOPE OF WORK:
The purpose of this position is to assist the Senior Program Coordinator with the general and holistic coordination of the #Hashtag (#LEAD & #GROW) programs, advance all Y@W business & partner relationships within the #Hashtag service areas, and work with other Program Coordinators to achieve departmental goals. Program Coordinators are expected to have a deep knowledge of specific program offerings, perform outreach, & generate reporting to meet projected program requirements, as well as developing & fostering new business & community partnerships that serve program goals.
ACCOUNTABILITIES:
● Serves as the subject matter expert for #Hashtag recruitment, session facilitation, field trip preparation & implementation, and summer work experience opportunities.
● Prepares and modifies documents including ongoing correspondence to program stakeholders and participants; reports pertaining to attendance, budgetary expenditures, etc.; as well as memos, and emails to assist the Senior Program Coordinator in the provision of the #Hashtag programs.
● Generates, records, &/or maintains monthly & quarterly data for #Hashtag to ensure all funds are spent responsibly & in a timely manner that is in line with grant & projected expenditures.
● Develops & implements corrective strategies to ensure program compliance; creates & monitors SMART goals to ensure #Hashtag programs meet & exceed goals.
● Solicits and participates in ongoing training to stay appraised of positional & grant requirements as it pertains to all WEX & business-related goals & OKRs across programs within the service area.
● Creates & maintains curriculum for #LEAD sessions; regularly updates & fine-tunes existing curriculum to suit student, grant, and program needs; recruits & coordinators guest speakers, as well as other necessary partners to ensure engaging experiences for participants; captures all session data within relevant spreadsheets and Apricot.
● Serves as trainer & onboarding coordinator for #LEAD staff by assisting the Senior Program Coordinator in developing & facilitating training materials for new & existing staff.
● Mentors & serves as backup for #GROW and #LEAD program staff as it pertains to curriculum development, facilitation, etc.
● Plans, organizes, and facilitates annual REY STEAM conference under the direction of the Senior Program Coordinator, alongside other stakeholders within the department.
● Works with leadership to develop and implement referral outreach strategies &/or program marketing to assist WIOA business-centered program goals & metrics the program year.
● Represents the area at meetings as-needed, including community or partner events; assists staff in timely & accurate data entry as it relates to any grant-related business service &/or work experience reporting.
● Coordinates & facilitates monthly meetings regarding #Hashtag & STEAM alongside other program staff; identifies & holds additional meetings with partners & stakeholders on an as-needed basis or for special events.
● Nurtures new and existing collaborative agreements by attracting business partners and referral sources; attends meetings in place of Senior Program Coordinator as-needed.
● Follow-ups with partners, customers, and businesses as appropriate to document the success of participants to foster continued collaboration.
● Collaborates with other departmental & agency Program Coordinators for outreach events & program events as needed.
● Matches job skills with applicant qualifications; refers qualified applicants to employers and conducts necessary follow-up with employers and customers to assist with job placement.
● Assists in the review and quality assurance of electronic files to ensure appropriate documentation is completed such as eligibility, Individual Employment Plans (IEP/ISS), Training Related Contracts, and Task-Oriented Plan (e.g., Work Experience Contracts, OJT Contracts, etc.) as needed.
● Gathers information regarding youth employment opportunities to develop and distribute internal and external program materials, as well as regular social media posts in conjunction with Marketing Department Staff.
● Facilitates one-to-one counseling, case management, orientations, and workshops to assist in preparation for job readiness, assist with resume building, and help participants navigate CalJobs as needed.
● Refers customers to other CSET program and partner resources as applicable.
● Perform data entry into CSET & Workforce Investment systems, as well as internal tracking mechanisms; stay appraised of system changes and best practices.
● Performs other duties including, but not limited to, fulfillment of work schedules in the absence of other staff, adherence to attendance policies and other applicable operating rules, policies & procedures.
