SUMMARY: The ideal candidate is a highly driven and ambitious, task and project-oriented person able to perform with a high level of follow through. The Development Assistant will work closely with the Vice President of Planning and Strategy and the construction team to provide general office support and facilitate assistance in all facets of the department.


JOB QUALIFICATIONS:

  • Mandatory 2+ years’ experience in an Administrative Assistant capacity preferably in a construction related environment
  • Superior organization and communication skills, collaborative with strong leadership and interpersonal skills
  • Results oriented team player with high level of self-motivation, critical thinking and problem- solving skills
  • Highest level of personal and professional integrity and ethics
  • Strong customer service skills
  • Demonstrated proficiency in Microsoft Office, internet applications and related software
  • Detail-oriented and highly organized with ability to work in a fast-paced environment
  • Ability to prioritize and multi-task while using time effectively and efficiently

RESPONSIBILITES:

  • Work closely with all members within the construction department to provide guidance, structure and support
  • Assist in coordination and facilitation of construction project commencement
  • Recording – Responsible for maintaining office filing and recordkeeping systems; enters, edits, and retrieves data
  • Document Preparation – Produces letters, memos, spreadsheets and agenda from straight copy, rough draft or oral instructions. Completes forms, requisitions and other documents.
  • Responsible for maintaining organization within the office and software system
  • Communication/Customer Service - Answers and routes telephone calls, inquiries from staff, vendors and field team members
  • Research vendor inquiries relating to invoices, orders, and follow-up inquiries
  • Schedules/Coordinate and attends meetings/conference calls as needed
  • Maintain calendars in Outlook
  • All additional responsibilities as assigned by Vice President of Planning and Strategy
