Reports To: Financial Administrator

FLSA Status: Non-Exempt

Department: Administration

Classification: Full Time Regular; 40 hours per week

Donato Brown Pool & Moehlmann, PLLC provides high-quality, professional legal services primarily to professional and business clients in an ethical, prompt, and cost-effective manner.

Summary: Provide support to the accounting department by managing team of Billing Specialists in addition to assisting with the processing of legal bills for distribution to clients. Held accountable for monthly reporting metrics and other needs that may arise throughout the billing cycle.

Duties and Responsibilities include the following:

  1. Held accountable for all metrics regarding the full scope of the firm's work in process and accounts receivable.
  2. Assist with the processing of prebills within the legal billing system and issue to billing attorneys for review on a monthly basis.
  3. Review, edit and analyze each prebill per the client billing guidelines and finalize within legal billing system.
  4. Work with the accounting team to resolve billing inquiries and troubleshoot issues that regularly arise.
  5. Provide full “work in process” oversight to ensure all time inputted into the system is billed timely and accurately to ensure we abide by the client billing guidelines.
  6. Assist with accounts receivable to keep track of past due accounts and follow up on payments.
  7. Track matter spend and update legal billing budgets per the billing system requirements.
  8. Problem solve multiple issues that may arise on a daily basis regarding technical system issues or multiple party involvement in various matters.
  9. Maintain matter billing contacts and client billing guidelines and update billing team regularly.

Computer Skills

  • Ideal candidate will have experience with the AIM/Perfect Law time keeping and billing system.
  • Experience working with legal billing software such as TyMetrix360, Legal-X, Counsel Link, Legal Exchange, Serengeti, Wolters Kluwer, etc. is required.
  • To perform this job successfully, an individual should have knowledge of Microsoft Office and previous experience with word processing software

Education: High School Diploma or higher

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Requirements:
  • Previous experience with legal billing is necessary to be considered for the role.
  • Ability to work individually and oversee a small team within the Accounting Department.
  • Self starter and willingness to anticipate the needs of the business.
