Construction Administrative Assistant

The Construction Administrative Assistant is responsible for on-site coordination and communication with the company’s construction projects by assisting and supporting the Project Manager and Superintendent. This position serves as the first line of communication and contact for the worksite(s).
Accountabilities and responsibilities include but are not limited to the following:
- Establish and maintain project files, databases, and other records.
- Serve as the primary financial administrative support for monthly draws and reporting, including processing of invoices and requisitions.
- Schedule and coordinate regulatory inspections, project meetings, pre-proposal conferences, interviews, bid openings, etc.
- Prepare correspondence for submission to State and Federal regulatory agencies.
- Assist Project Manager with submission and tracking of technical specifications, meeting agendas, minutes, and reporting.
- Provide courteous and professional customer service and coordinate job activities with staff, subcontractors, and vendors.
- Provide high-level, professional administrative support including computer support, office assistance and customer service to internal and external constituent groups, answering telephones, taking accurate messages, mail, filing, making copies, meeting and room scheduling.
- Review, sort and route incoming correspondence and arrange and oversee the delivery of outgoing internal and external correspondence for the office.
- Performing other duties as assigned.
- Work beyond the narrow and specific job responsibilities to advance the goals of the company.
Knowledge /Skills Required
- Highly proficient in Microsoft office applications: Word, Excel, Power Point, Outlook
- Exceptional communication skills both verbal and written
- Strong organizational ability and attention to details capability
- Strong analytical ability. Must be able to gather information, analyze calculations and prepare reports.
- Flexibility to work in a fast-paced environment
Education / Years of Experience
- Minimum of three (3) years of general administrative support experience required.
- Experience working for a construction firm or in a construction related industry strongly preferred
- Associates Degree or Bachelor’s Degree in Business Administration a plus.
