Our firm is committed to excellence in mechanical, electrical, and plumbing (MEP) engineering, contributing to impactful projects across various industries.     Position Overview: We are seeking a diligent and detail-oriented Administrative Assistant to join our team in a supportive role for our Operations and Marketing departments. This position plays a critical role in ensuring efficient office operations and accurate data management to facilitate the smooth functioning of our dynamic engineering firm.     Key Responsibilities: 
  • Provide administrative support to the Operations and Marketing teams. 
  • Maintain organized filing systems for physical and electronic documents. 
  • Perform data entry tasks with a high level of accuracy and efficiency. 
  • Update and maintain databases, spreadsheets, and systems. 
  • Research processes and gather information to support departmental needs. 
  • Prepare and modify documents, including reports, drafts, and emails. 
  • Handle incoming communications, including answering and directing phone calls. 
  • Coordinate schedules, appointments, and meetings for team members as needed. 
  • Assist in the completion of applications and manage the application approval process. 
  • Assist with coordination for executive events, travel, and meetings as needed. 
  • Perform other duties as assigned by management. 

Qualifications: 
  •  Proven experience as an administrative assistant, office assistant, or in a relevant role. 
  • Strong data entry and recordkeeping skills. 
  • Strong organizational and time management skills with the ability to prioritize tasks effectively. 
  • Strong verbal and written communication skills. 
  • Ability to handle confidential information with integrity and discretion. 
  • Experience in assisting with human resources is a plus. 
  • Proficiency in MS Office (Word, Excel, Outlook). 
  • Proactive problem-solving skills with a positive, can-do attitude. 
  • Diligent, detail-oriented, and efficient in time management. 
  • High school diploma; additional qualifications in Office Administration or related field preferred.
