Key Responsibilities:
Data Entry:
- Enter invoice data into the accounting system with precision.
- Ensure all entries are complete and accurate, resolving any discrepancies promptly.
Invoice Processing:
- Review and receive invoices, ensuring they have the appropriate documentation and approval.
- Code and match invoices to purchase orders and receiving documents.
Payment Processing:
- Prepare and process electronic transfers and payments.
- Monitor accounts to ensure timely payments and follow up on outstanding balances.
Record Maintenance:
- Maintain up-to-date vendor files.
- Keep accurate records of all transactions and ensure proper documentation is in place.
Communication:
- Liaise with vendors and internal departments to resolve any invoice or payment issues.
- Respond to inquiries regarding invoice status and payment processing.
Reconciliation:
- Assist in month-end closing and reconciliation of accounts payable transactions.
- Prepare and maintain accounts payable reports as needed.
Compliance:
- Ensure compliance with company policies, procedures, and applicable laws.
- Assist in audits by providing necessary documentation and explanations.
Qualifications:
- High school diploma or equivalent; an Associate’s degree in Accounting or a related field is preferred.
- Proven experience as an Accounts Payable Clerk or in a similar role.
- Proficiency in MS Office and accounting software (e.g., QuickBooks, SAP).
- Strong data entry skills with high accuracy and attention to detail.
- Excellent organizational and time management skills.
- Ability to handle confidential information with discretion.
- Strong communication and interpersonal skills.
Working Conditions:
- Office environment.
- Full-time, 40 hours per week.
- Occasional overtime may be required during peak periods.
