HR / Office Administrator

Blue Bell law firm is seeking a highly organized and detail-oriented individual to join our team as a human resources / office administrator. This role involves managing day-to-day operations, payroll, some accounting as well as performing various administrative tasks to support our team and office. The ideal candidate should be a reliable, dedicated individual with the ability to manage multiple responsibilities efficiently, effectively, and adhere to highly confidential information.

Responsibilities:

  • Responsible for all aspects of the Firm’s HR practices and procedures, including, but not limited to, the operations of HR functions and duties by carrying out responsibilities in the areas of employee relations, performance management, onboarding (I-9 verification), policy interpretation and implementation, and employment law compliance.
  • Interact with benefits consultants.
  • Experience in providing daily supervision and scheduling of office staff as well as effective delegation of roles and responsibilities of employees.
  • Maintain confidential personnel files and information.
  • Calendar management of employees.
  • Ensure office efficiency by overseeing supplies, equipment and overall office management.
  • Perform accurate data entries and maintain up-to-date records on employees.
  • Proven experience in office management or related administrative roles.

  • Responsible for payroll processing-related functions, including, but not limited to, the timely entry of new hires, pay rates, pay status changes and termination information of all employees, submission of hours, benefits, tax deductions, adjustments, etc., and ensuring accuracy, timeliness, and submission of same.

  • Manage certain Firm accounting and banking information.
  • Maintain certain aspects of accounting system and assist with accounting entries.
  • Assist in accounts payable and accounts receivable when necessary.

 

Qualifications:

Education: High school diploma required; post-high school continuing education helpful but not necessary.

Experience: Bookkeeping (5 years +) and office management (3 years +).

Skills:

  • Ability to maintain written and verbal confidentiality of company information at all times.
  • Strong time-management and people skills and excellent multitasking ability.
  • Attention to detail.
  • Experience and proficiency in accounting software. Currently using TABS3 accounting software.
  • Proficiency Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Dedicated, hardworking with the ability to work independently.
  • Problem-solving skills and adaptability to various tasks.

Job Types: Full-time (Monday – Friday)
