3 must haves:

  • HS/AA/AS degree in accounting or related business field and/or 1-3 years of administrative experience with strong attention to detail and accuracy
  • Must be proficient with Microsoft Office (Word, Excel, Outlook), Adobe PDF, familiar with ATS systems, accounting procedures and be detailed oriented with an understanding of having a sense of urgency
  • Must have reliable transportation and be available to run errands (bank deposits, lunch runs, FedEx, USPS as needed)

Primary Responsibilities

  • Provide support, oversee and complete all new hire onboarding from offer letters, file preparation, following up on onboarding tasks and outstanding documents, scheduling drug screens and physicals (when needed) to providing payroll instructions and payroll orientation.
  • Answer calls while delivering top notch customer service, direct phone calls, provide general support to visitors, organize and schedule meetings and appointments, book travel arrangements, produce and memos, letters, faxes and forms, assist in the preparation of regularly scheduled reports.
  • Maintain employee files in an organized and accessible manner to include updating employee information along with filing correspondence and other related information in a timely manner
  • Coordinates site meetings, conference set ups and special employee events
  • Ordering office supplies, maintaining office organization and some housekeeping duties (sanitizing/dusting) and grocery shopping or other errands as necessary


Skills & Experience

  • Desired 1-3 years of administrative experience with strong attention to detail and accuracy
  • Excellent interpersonal and communication skills.
  • Ability to multi-task, work well under pressure and meet daily deadlines
  • Good analytical skills and must be proficient in MS Office Suite to include Outlook, Word, Excel
  • Ability to interface with all levels of employees, contract workers and consultants
  • Ability to maintain highest level of discretion, diplomacy, and confidentiality
  • Must be able to schedule and calendar meetings, arrange travel and book flights, hotel stays, understand rewards and point systems
  • Previous experience in running payroll transactions, onboarding new employees is a plus
  • Able to be flexible and work on various tasks as requested
  • Good people skills and coordination processes
  • Work efficiently with limited oversight
