We are seeking a highly motivated and organized individual to join our client's team as a Receptionist in the Division of Administration & Finance (A&F) . In this role, you will be the first point of contact for visitors, faculty, and staff seeking assistance from the A&F departments. You will play a crucial role in creating a welcoming and efficient environment while providing essential administrative support to the division.

Responsibilities:

  • Greet visitors and answer phone calls: Provide warm and professional first impressions to all visitors, answer phone inquiries accurately and efficiently, and direct calls to the appropriate personnel.
  • Manage the reception area: Maintain a clean, organized, and professional environment, ensure adequate supplies are stocked, and manage visitor flow.
  • Provide administrative support: Assist staff with various administrative tasks, including filing, photocopying, data entry, and scheduling appointments.
  • Process mail and deliveries: Sort and distribute incoming mail and packages to the appropriate departments, handle outgoing mail and deliveries according to university procedures.
  • Calendar management: Assist with scheduling meetings and maintaining accurate calendars for A&F staff.
  • Travel and expense support: Assist with processing travel reimbursements and expense reports as needed.
  • Special projects: Assist with special projects assigned by the A&F Director or other staff members.
  • Adhere to university policies and procedures: Ensure compliance with all university policies and procedures relevant to the A&F division.


Location: Norfolk, VA
Work Schedule: Monday- Friday 8AM-5PM; 100% Onsite

Qualifications:

  • High school diploma or equivalent required
  • Minimum of 2 year of experience in a fast-paced office environment.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy.
  • Ability to multitask and prioritize effectively.
  • Discretion and professionalism in handling confidential information.
  • Positive and friendly attitude with a commitment to providing excellent customer service.
