The purpose of the Executve Administartive Assistant is to provide executive assistance to the Defense Counterintelligence and Security Agency (DCSA). The mission is to provide the DCSA Office of the Chief Financial Officer (OCFO) with a broad scope of executive assistance to two (2) Senior Executive Service (SES) members (Chief Financial Officer and Deputy Chief Financial Officer) and administrative assistance to division chiefs throughout OCFO in support of the DCSA Mission Areas, Mission Support Areas, and Special Staff.


Essential Duties and Responsibilities:


The primary responsibilities of the position will include but not limited to:

  • Provide analysis, identify actionable recommendations, and produce written artifacts and visualization representations for DCSA’s leadership program priorities and initiatives.
  • Provide and/or distribute accurate and professional written or verbal responses to internal and external stakeholders’ requests for and dissemination of information.
  • Facilitate a variety of knowledge sharing sessions with leadership and key stakeholders to identify, document, and map current challenges to construct and convey a high-level vision to complex initiatives.
  • Provide writing, editing, and documentation services as required.
  • Develop artifacts including but not limited to announcements, brochures, advertisements, marketing material, policies, processes, procedures, “How To” guides and instruction manuals, charts, graphs, figures, and forms Articles and reports on trends.
  • Provide copy edits as necessary for proofreading for grammar and spelling.
  • Support the planning and execution of conference(s) or event(s), including but not limited to ceremonies (Retirements, Promotions, Awards, etc.), Office Training, Orientations, and Off-site meetings.
  • Provide advice and recommendations to the Director, Deputy Director, and Chief of Staff, DCSA on all matters relative to the coordination, integration, and synchronization, of staff actions, events, and activities personally affecting and involving the DCSA Immediate Office.
  • Assist the Director, Deputy Director, and Chief of Staff in the execution of all matters pertaining to strategic visits and communication.
  • Develop, coordinate, manage, lead, and deliver multiple, critical, daily, and weekly strategic activities and communications on behalf of the Director.
  • Attend high-level internal and external meetings and briefings with, or for, the Director, Deputy Director, and Chief of Staff and takes notes, documents actions, follows up as required and monitors action through to completion.
  • Create and brief messages/presentations to DCSA senior leadership, as well as to the total DCSA workforce (i.e., town halls).
  • Develop plans and objectives for assigned projects.
  • Initiate and conduct studies and analyses on projects, issues, and problem cases.
  • Identify areas needing emphasis and exercise executive guidance to ensure programs and initiatives accurately meet expectations.
  • Review work products from DCSA organizational element that respond to front office suspense dates, ensuring they contain complete information that is responsive to the incoming tasking.
  • Attend DCSA and OSD meetings with the Director, Deputy Director, and Chief of Staff.
  • Follow up within DCSA and with Under Secretary of Defense for Intelligence (USD(I)) and Deputy Under Secretary of Defense for Intelligence and Security (DUSD(I&S)) staff officers on action items resulting from those meetings to ensure common understanding of substantive requirements and suspense dates.
  • Respond to substantive inquiries from USD(I) and DUSD(I&S) staffers regarding DCSA Transformation Plan, DCSA Strategic Plan, complex program issues, Congressional inquiries and other important or urgent issues.
  • Manage numerous high priority special projects.
  • Perform training and development, conduct on-boarding/off-boarding procedures, conduct employee orientation, and conduct manpower planning/staffing actions.
Requirements:
  • Bachelor’s degree required. Business Administration degree is preferred.
  • Minimum of 4 years of experience working as an Executive Assistant. DCSA work experience preferred, but not required.
  • Secret Clearance is required.
  • Proficient in Microsoft Word, Excel, PowerPoint, SharePoint, and other products
  • Proficient in Adobe Suite, including but not limited to Acrobat Design, Adobe, Photoshop, Adobe Illustrator, Adobe Acrobat, Adobe PageMaker, Adobe Premier, etc. or the applicable software of record for the agency.
  • Proficient in organizing and utilizing MS Teams and ServiceNow for communications and task management.
  • Possess excellent and professional verbal and written communication skills and provide well-written, articulate responses to compliance issues
  • Demonstrates mastery of office administration skills through work experience.

Full-time

Work Hours: Monday-Friday, 8:00 am to 4:30 pm (Onsite)

Pay Rate: Negotiable
