Senior Administrative and Management Support Specialist

Amentum is seeking a highly skilled and experienced Administrative Support professional to join our team. As an Administrative Support Specialist, you will provide exceptional support to our Senior Leaders, ensuring the smooth operation of our office and contributing to the success of our organization.
Key Responsibilities- Liaison and Communication: Serve as a liaison with other departments and external agencies, providing exceptional communication and coordination skills.
- Calendar and Scheduling: Coordinate complex calendars and schedules for Senior Leaders, ensuring timely and efficient management of their time.
- Document Preparation: Prepare a wide range of documents, including reports, letters, memoranda, and presentations, requiring expert knowledge of Microsoft Office software.
- Database Management: Maintain complex and confidential databases, ensuring accurate and up-to-date information.
- Policy and Procedure: Collect, coordinate, and review briefs and correspondence to ensure conformity to DoD policies and regulations.
- Administrative Support: Provide administrative support, including records and file management, employee in- and out-processing, and correspondence drafting and routing.
- Travel Planning: Assist with travel planning, including Defense Travel System (DTS) management.
- Conference Room Coordination: Coordinate conference room scheduling and logistics.
- Office Equipment and Supply Inventory: Maintain office equipment and supply inventory.
- Government Timecard Program Management: Manage the Government timecard program (DAI).
- Receipt and Routing of Office Mail/Correspondence: Receive and route office mail and correspondence.
- Task Management: Manage task management systems, including CATMS and TMT, to ensure Senior Leaders are informed and trends are identified.
- Training Program Execution: Assist in the execution of office training programs.
- Active Secret Clearance: Must have an active Secret clearance.
- Education and Experience: Bachelor's degree (minimum) and 3 years of relevant senior administrative and management support experience, or 10 years of related work experience with a bachelor's degree substitution.
- Communication Skills: Superior oral and written communication skills, with a good command of the English language.
- Technical Skills: High proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
- Organizational Skills: Strong organizational skills, with the ability to prioritize tasks and manage multiple projects.
- Physical Demands: May be required to lift general office items (20-30lbs).
- Work Environment: Expected to work in an office environment, with occasional telework dependent on government needs.
- Defense Travel System Experience: Familiarity with the Defense Travel System and timekeeping management programs.
- DCSA and DoD Experience: Experience working with DCSA and DoD policies and procedures.
- Office Equipment Knowledge: Knowledge of operating office equipment, including fax and copy machines.
