Job Summary
We are seeking a highly skilled and experienced Executive Support Specialist to join our team at SAIC. The successful candidate will provide administrative and executive support to senior Government leaders in our Office of the Chief Information Officer (OCIO).
Key Responsibilities
- Coordinate office management activities, including research, compilation, and preparation of confidential and sensitive documents and briefs.
- Screen and prioritize incoming correspondence and reports, and handle matters personally as required.
- Compose letters and memoranda in response to incoming mail or calls, and update OCIO leadership on status of issues before scheduled meetings.
- Prepare agendas, collect materials, and take minutes for meetings, and maintain records of proceedings.
- Review, proofread, and edit documents prepared for OCIO leadership signature, and coordinate and facilitate the OCIO leadership calendars.
- Recommend actions on office expenditures, and compile and maintain records, statistical information, and reports.
- Establish and maintain various filing and records management systems, and perform related work as assigned.
Requirements
- High School diploma
- At least 8+ years of experience in an administrative role reporting to executives, preferably in a DOD environment
- Experience with Defense Travel System (DTS)
- Secret Clearance
- Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word), Adobe Acrobat, collaboration software such as MS Teams and SharePoint
- Expert level written and verbal communication skills
- Strong time-management skills and ability to organize and coordinate multiple concurrent projects
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Emotional maturity
- Demonstrated ability to interact effectively and appropriately with high-level executive staff
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
