Accounts Receivable Specialist Job Description

POSITION SUMMARY:

The Accounts Receivable Specialist is responsible for assisting with the functions of customer set-up and maintenance in the company’s ERP system, processing payments pre-shipments, processing sales invoicing, analyzing customer credit information, accounts receivable analysis, and report preparation.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

·         Adds new customers and maintains customer information in ERP system.

·         Sends requests for customer credit references.

·         Runs credit reports for immediate sales orders needing to ship which require over a certain amount in credit. Review customer credit balances. Create credit memos and debit memos as required.

·         Analyzes customer credit history and recommend credit increase/decrease and change of payment terms.

·         Validates resale certificates.

·         Processes prepay payments including estimating freight charges.

·         Notifies customers and management of potential shipment delays or potential non-shipment due to lack of pre-payment and customer non-payment of past due invoices.

·         Reviews the suspense report twice daily to approve sales order releases.

·         Completes daily sales order invoicing of all shipments

·         Reviews RMAs that are outstanding, and validate RMA’s that are to be processed.

·         Reviews aging report to prioritize customers who have past due payments. Contacts customer to obtain reason for non-payment.

·         Discusses with Controller if a customer needs to be placed on hold or terms revoked and notifies other departments as needed

·         Completes accounts receivable analysis and summary reports.

·         Totals incoming checks and prepare foreign check deposit.

·         Remains available to the Shipping Department until all shipments are received for the day.

·         Provides pro forma invoices per customer requests.

·         Distributes and counts Petty Cash as needed.

EDUCATION AND EXPERIENCE:

·         High School Diploma or equivalent desired.

·         Two years of experience in accounts payable, accounts receivable, general accounting, or equivalent.

·         Any equivalent combination of education and experience determined to be acceptable by management.
