Job DescriptionJob Description We are seeking an Administrative Assistant / Receptionist to join our team . The ideal candidate will have a pleasant demeanor and professional appearance. In this role, you will be the first person that staff, clients, and visitors see as they enter our office, so it is essential to create a welcoming atmosphere. You will also complete receptionist tasks, such as answering phones, preparing outgoing mail, and assisting with office calendaring. While some postsecondary education is a plus, we prefer candidates with administrative or clerical experience. Once you become familiar with our needs and client base, you may be asked to help us manage our social media platforms.


Summary of Essential Job Functions

  • Answers, screens, and directs calls on a multi-line phone system courteously and professionally; takes messages and forwards telephone calls.
  • Clears messages each morning
  • Meets and greets all visitors; determines their needs
  • Responds to visitors, clients, and employees courteously and professionally.
  • Opens and routes incoming mail.
  • Prepares and forwards outgoing mail and packages.
  • Composes and types routine correspondence as required.
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing as required.
  • Organizes and maintains file system, files correspondence, and other records.
  • Orders and maintains supplies, arranges for equipment maintenance and keeps reception area organized.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Performs other related duties as assigned by management.


Minimum Qualifications / Requirements

  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Products
  • Strong interpersonal skills.
  • Ability to understand and follow written and verbal instructions
