SUMMARY:

As a dedicated support professional, this role ensures the seamless operation of our school by managing student records, enrollment, administrative functions, and coordinating operational staffing and facilities needs. You'll be the expert on efficiently handling student data and academic processes, while providing invaluable support to staff, students, and families.


QUALIFICATIONS:

  • Bachelor's degree in Education Administration, Business Administration, or a related field preferred.
  • Minimum of four years of experience in a school administration or registrar role.
  • Demonstrated proficiency in student information systems (Blackbaud, Magnus, Scribble), Google for Education Apps and Microsoft Office Suite.
  • Strong understanding of educational policies, procedures, and curriculum requirements (Preschool-G8).
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to prioritize tasks, manage multiple deadlines, and work independently.
  • Supervisory experience and a customer service orientation are a plus.
  • Fluency in additional languages is highly desirable.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Student Records Management:

  • Enroll, maintain and archive accurate student records using SIS and LMS systems.
  • Interpret incoming transcripts for domestic and international students.
  • Prepare and manage processes for various documents including transcripts, reports, academic probation, student portfolios, certificates, awards and enrollment letters.
  • Oversee attendance and health records submission, tracking, and compliance. Manage the Watch List and coordinate support for students on it.
  • Ensure compliance with Department of Social Services forms and annual reporting requirements.

Administrative Coordination:

  • Manage and maintain the campus master schedule.
  • Assist with creating and maintaining staff schedules.
  • Support Enrollment Management with inquiry response and data management.
  • Assist the Leadership Team with communications, calendar management, and event coordination.
  • Coordinate coverage for staff absences.
  • Demonstrate a customer service orientation in all interactions.
  • Oversee ordering and reimbursement processes and campus supplies needs
  • Maintain calendars, coordinate events, and assist with regular staff and family communication.

Supervisory Responsibilities:

  • Oversee Front Desk Staff, providing guidance and support as needed-including approving timecards and schedule changes.
  • Coordinate and prioritize tasks within the administrative support team.
  • Support coordination of operations staffing and priorities
  • Ensure adherence to school policies and procedures.

ADDITIONAL RESPONSIBILITIES:

  • Support the SLT with various administrative functions.
  • Act as the primary point of contact for administrative inquiries and support needs.
  • Other duties as assigned by Head of School
Requirements:

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS:


Primarily an office position. Ability to climb stairs, steps and to sit for extended periods of time. May require some degree of intermittent walking, bending, stooping, reaching and stretching. May require lifting of up to 25 Lbs.
