A well established professional service firm in Sacramento is currently seeking a highly engaged and forward-thinking Office Administrator. The Office Administrator will oversee all office administration including high-level client interaction, administration procedures, and maintaining critical client records. This position is not only an essential part of ensuring that office operations run smoothly, but it also assists with initiatives that support key organizational values.

This is a chance to join a collaborative and highly professional services firm.  The ideal candidate will have office administrator or office management experience from a professional services environment.  To be successful here, the candidate is a self-starter who is goal-oriented, driven and possess strong critical thinking.

PRIMARY RESPONSIBILITIES:

·         Utilize MS Office Suite and other software to coordinate and communicate firm tasks, renewals, and Quality Control.

·         Oversee workflow throughout the office.

·         Ensure client returns are processed and filed in a timely manner.

·         Set up and maintain all client files to include collection of client information, assembly, scanning and processing of information.

·         Welcome clients in-person, answer phones and convey messages to partners and team.

·         Maintain client billing records and reports as directed by the Senior Partners.

·         Scheduling and appointment setting for clients, meetings, and conferences.

·         Hire and monitor vendors for various office services.

·         Plan and coordinate firm seminars and events.

·         Organize files to be prepared as well as electronic filing once completed.

·         Able to handle confidential information.

·         Maintain data in various software systems to ensure accuracy.

 

SKILLS & QUALIFICATIONS:

·         Minimum of 2-3 years’ experience as Office Manager in a professional services environment.

·         Extremely organized and proactive self-starter.

·         Able to maintain composure under pressure and meet deadlines.

·         Demonstrated problem-solving skills and good judgment in making decisions.

·         Excellent communication skills with a client-centered and team approach. 

·         Exceptional interpersonal communication and relationship building skills.

·         Flexible and adaptable to challenges and changes with the ability to prioritize workload.

·         Proficient in Microsoft Office Suite, including intermediate MS Excel.

·         Technically savvy, quick to learn new technology and web-based programs.
