Salary: $29.00 to $31.00 per hour
Primary Purpose: Our Client is seeking a highly organized and proactive Regional Office Coordinator I to provide project and administrative support for our Arlington, VA office. This role requires a thorough knowledge of regional operations, policies, and procedures, and general knowledge of company policies and processes. The successful candidate will be responsible for ensuring smooth daily office operations and will act as the main liaison between corporate and regional offices for various functions such as Human Resources and Accounting.
Principal Duties and Responsibilities:
- Order office supplies.
- Answer phones and handle incoming/outgoing mail (shipments, paper, and electronic).
- Complete filing activities and assist with project correspondence and proposals.
- Coordinate payment of material and supply invoices.
- Conduct remote new employee orientation in the office and coordinate HR-related activities (I-9 verifications, new hire paperwork, etc.).
- Maintain regional and management calendars.
- Provide proofreading and editing of correspondence and reports, and compose routine or complex documents.
- Create presentations and spreadsheets.
- Provide input regarding day-to-day office operations.
- Serve as Building Service Liaison.
- Manage front desk reception/access control and greet visitors.
- Act as liaison with the landlord in leased/rented offices.
- Coordinate with professionals in other offices for events, training, and other activities.
- Coordinate events in DC, including travel arrangements, materials, event plans, etc.
Required Skills:
- 5+ years of relevant experience preferred.
- Advanced skills in Microsoft Word and Excel.
- High school diploma or equivalent required.
Preferred Skills:
- Technical editing/proofreading.
- Intermediate skills in Microsoft PowerPoint.
- Intermediate skills in electronic file storage systems.
- Basic skills in financial information systems.
- Intermediate skills in project management systems.
- Intermediate skills in time reporting systems.
- Knowledge of budget processes and tools.
- Advanced multi-tasking ability (prioritize, organize, and schedule work).
- Advanced problem-solving skills (identify, analyze, research, evaluate, and resolve).
- Intermediate human relations skills (written, verbal, and client service).
- Intermediate knowledge of time reporting and expense reporting policies and procedures.
- Intermediate knowledge of regional administrative policies and procedures.
- Basic knowledge of division project policies and procedures.
Education:
- High school diploma or equivalent preferred.
- Basic word processing and spreadsheet skills required.
