Under direct supervision provides advanced secretarial assistance to assigned attorney(s). Primary duties include preparation and filing of legal documents, file maintenance, typing, responding to telephone inquiries, scheduling and billing. Experience in Insurance Defense law is highly desirable.

Job Duties

· Transcribes dictation from tapes or DSS digital dictation software. Types, proofreads, and edits correspondence and legal documents.

· Ability to create rough drafts of routine correspondence and documents for attorney review.

· Ability to e-file in Federal and State courts without assistance or support.

· On behalf of assigned attorney(s):

  • Contacts other attorneys, judges, court clerks, court reporters and clients to initiate needed actions.
  • Performs other case/matter specific responsibilities as assigned by supervising attorney.
  • Ability to review/correct WIPS and generate cover letters.

· Answers, screens, prioritizes and routes telephone calls.

· Schedules depositions, court appearances, meetings and appointments; maintains attorney’s calendar(s) and makes travel arrangements and reservations.

· Uses PerfectLaw system to track significant calendar/diary dates and case information.

· On an infrequent basis may enter attorney time into PerfectLaw time-keeping system.

· Familiarity with client billing guidelines.

· Ability to anticipate problems and take appropriate action.

· Responsible for preparing, sorting, reviewing and distributing mail to attorney(s), creates initial billing entry.

  • Any other related duties as assigned.

Qualifications

  • High School diploma (GED) or equivalent experience
  • Good oral communication skills.
  • Good written communication skills.
  • Strong organizational skills
  • General computer skills.
  • Familiarity with transcription equipment.
  • Strong typing skills 70 wpm or greater.
  • 7+ years of legal secretary or equivalent executive level secretarial experience.
