Responsibilities:

  • Team Leadership: Oversee and manage the administration team, ensuring high performance and efficiency in all tasks.
  • Contract Review: Review customer contracts to check expenses and ensure that deals are profitable and align with company goals.
  • Reservations & Scheduling: Maintain and manage customers' travel events and reservations, ensuring accuracy and timely updates.
  • Office Administration: Handle day-to-day office operations, including maintaining office supplies, managing correspondence, and overseeing office equipment.
  • Event Planning: Organize company events, meetings, and team-building activities.
  • Human Resources Support: Assist with onboarding new employees, maintaining personnel records, and managing employee benefits. Oversee employee PTO (Paid Time Off) requests and manage day-to-day HR-related issues within the office.
  • Financial Administration: Send invoices and handle expense reports.
  • Vendor Management: Liaise with vendors and service providers to ensure the office is running smoothly.
  • Facility Management: Ensure the office environment is clean, organized, and conducive to productivity.
  • Communication: Serve as a point of contact between employees and management, facilitating clear communication and fostering a positive work environment.

Qualifications:

  • Experience: 3+ years of experience in office management or administrative support, with experience leading a team.
  • Contract Management: Experience in reviewing contracts to ensure profitability and manage expenses.
  • Reservations Management: Experience in managing customers' travel events, reservations, or similar logistical tasks.
  • HR Experience: Familiarity with handling HR-related tasks, such as managing PTO and addressing workplace issues.
  • Organizational Skills: Exceptional organizational and multitasking abilities.
  • Communication: Strong verbal and written communication skills.
  • Tech-Savvy: Proficiency with office software (e.g., MS Office, Google Workspace) and familiarity with basic IT troubleshooting.
  • Problem-Solving: Ability to anticipate needs and solve problems proactively.
  • Team Player: A collaborative spirit with the ability to work independently and take initiative.
  • Attention to Detail: Strong attention to detail and accuracy in all tasks.
