Job DescriptionJob Description

We are seeking a detail-oriented and highly organized Accounts Payable / Accounts Receivable (AP/AR) Specialist to join our team. The ideal candidate will have a solid background in accounting, with experience in bookkeeping, general ledger reconciliation, and proficiency in accounting software such as Agility. This role requires someone who is meticulous, with strong analytical skills, and the ability to manage multiple tasks efficiently.

 

Key Responsibilities:

Accounts Payable:

- Accurately and timely process invoices, ensuring proper approvals are received and matching to receiving reports.

- Code invoices to appropriate accounts and input them into the system for review.

- Arrange for new suppliers and maintain up-to-date vendor contact information and portal credentials.

- Review unvouchered receipts report for accuracy and ensure invoices are processed on time.

- Run the weekly "aging report" and review all unprocessed/outstanding invoices.

- Follow up on supplier inquiries and maintain AP files.

- Prepare month-end journal entries.

- Run Period Receipt Report and reconcile to the General Ledger.

- Confirm interbranch balances and process intercompany transactions.

 

Accounts Receivable:

- Create and manage debit/credit notes and invoices.

- Ensure all credit notes are properly approved and posted.

- Post all payments received and manage customer credit checks.

- Review discounts, sales terms accounts, and reconcile Petty Cash.

- Perform customer credit checks and maintain customer credit files.

- Respond to customer inquiries and follow up on unpaid, short-paid, or late invoices.

- Monitor, collect, and resolve AR aging items.

- Establish and maintain a process for timely collection of receivables from clients.

 

Month-End Activities:

- Prepare and run month-end closing activities to ensure accurate financial records.

- Reconcile vendor statements, resolve discrepancies, and prepare financial reports related to AP/AR.

- Support internal and external audits by providing necessary documentation.

- Maintain accurate records of financial transactions and collaborate with internal teams to ensure proper accounting procedures.

 

Qualifications:

- Certification in Accounting or a related field.

- Experience with DMSI/Agility is strongly desired.

- Previous experience in distribution or manufacturing environments.

- Strong knowledge of bookkeeping and general ledger accounting.

- Strong organizational and time management skills with the ability to manage multiple tasks.

- Excellent communication and interpersonal skills with a focus on customer service.

- Detail-oriented with strong analytical and problem-solving abilities.

- Strong process development and improvement skills.

- Experience with vendor/supplier management, billing, and external audits.

- Ability to develop and maintain customer relationships and manage contact information effectively.

 

This role requires a high level of attention to detail, accuracy, and the ability to work independently as well as part of a team. The ideal candidate should be comfortable working in lumber yard environment, handling multiple priorities, and meeting tight deadlines.
