Summary:
The Office Manager will oversee the administrative duties at the +Vantage Corporation a business unit of RoBEX LLC to ensure the office and equipment are running smoothly. The Office Manager will serve as the first point of contact with +Vantage Corporation visitors in a professional manner while performing a variety of administrative duties.

Oversee the guest experience and ensure a personal, friendly experience for anyone coming into the office and during their visit.
• Exhibits polite and professional communication via phone, email, and mail.
• Answer telephone and give information to callers or route call to appropriate person. Forward callers to voicemail or take a message when an employee is unavailable.
• Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment.
• Provide direct administrative support as needed, including scheduling appointments, meeting, and events, booking travel, maintaining a filing system, sorting mail, ordering supplies, updating contact database and employee list and coordinating food deliveries, order business cards for +Vantage and other business units.
• Ensures uninterrupted operations of office equipment by completing preventative maintenance requirements, calling for service, submitting IT tickets, and evaluating new equipment and techniques.
• Assist employees with order company products from the Acieta website
• Manage the quoting process for building maintenance including, grounds care, janitorial services.
• Administrative support to Human Resources
• Encourage employee involvement by updating and maintaining office boards, televisions, and employee newsletters monthly.
• Other duties as assigned.

Education, experience and physical requirements:

  • High School diploma or equivalent with 2 to 4 years related administrative experience, education and/or training.
  •  Intermediate knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint);
  •  Must be able to effectively and professionally communicate
  •  Bilingual is a plus (Spanish and English preferably)

Language Skills:
o Ability to read and comprehend simple instructions, short correspondence and memos.
o Ability to write simple correspondence.
o Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
• Reasoning Ability:
o Ability to understand and to carry out instructions furnished in written, oral, or diagram form.
o Ability to deal with problems involving several concrete variables in standardized situations.
Physical Requirements:

• The employee must occasional lift and/or move up to 15 pounds.
