Position Summary:
As our Operations Manager, you'll be a key player in ensuring seamless coordination between our in-office operations and field teams. Your expertise will be invaluable in optimizing our inventory tracking system, managing financial administration in QuickBooks Online, and overseeing projects from start to finish. You'll play a pivotal role in maintaining efficient communication, driving operational excellence, and directly reporting to the owner/CEO on financial and project updates. Ultimately, your contributions will significantly impact the success of our day-to-day operations.
Qualifications:
- Software Proficiency: Strong command of MS Office Suite (Word, Excel, Outlook, Teams) and QuickBooks Online.
- Language Skills: Fluency in Spanish (both written and verbal) is required for effective communication with our diverse team.
- Organizational Skills: Meticulous attention to detail, exceptional prioritization abilities, and consistent ability to meet deadlines.
- Experienced Professional: 8+ years of operations management experience demonstrating strong organizational and project management skills, along with a proven aptitude for learning new systems and processes. Experience in a construction and/or human resources setting is a significant plus.
- Skills: Proven track record in inventory and project management, adaptability to new systems, excellent communication skills (written and verbal), exceptional organizational skills, and a keen eye for detail.
- Customer Service: Excellent communication skills to interact with contractors, homeowners, office staff, and field crew.
Key Responsibilities:
- Inventory Management: Become the go-to expert on our new inventory tracking process, ensuring accurate and timely updates.
- Financial Administration: Utilize your QuickBooks Online proficiency to manage transactions (invoices, payments, accounts receivable/payable) and maintain financial records.
- Communication & Collaboration: Foster seamless communication between the office and field teams, address issues, and promote a collaborative environment.
- Project Management: Oversee projects from start to finish, manage daily operations, and lead weekly team meetings to track progress and discuss updates.
- General Office Duties: Support the team with systems troubleshooting, emails, correspondence, and maintain a positive atmosphere.
