Summary
The Clinical Administrative Assistant is a key member of the Clinical Services team. This role supports the Nurse Leadership, Education and Clinical Services teams assisting with a wide variety of duties in the area of coordination, administrative and Clinical Service operations.

Relationships

  1. Responsible to the Medical Assistant Manager
  2. Works to support all Nurse leadership
  3. Works closely and supports the Staff Educator
  4. Works to support Nurse, Medical Assistant and Patient Care Coordinator teams
  5. Works closely with Medical Assistant Lead

Duties

  1.  
  • Serves as a liaison between Nurse Leadership, Practice management and clinical service teams to ensure smooth day to day operations as it relates to Clinical staffing support.
  • Maintains the daily clinical assignment sheet and appropriate distribution to the Clinical service and Management teams.
  • Coordinates and maintains scheduling and coverage of Nurses, Medical Assistants and Patient Care Coordinators to ensure adequate coverage for operating hours.
  • Assists and supports Nurse Leadership in maintaining up-to-date and accurate time keeping in Kronos.
  • Oversight of clinical supply par levels and purchase ordering.
  • Oversight and monitoring of medical instrument transport and processing.
  • Oversight of data entry into the Share Point database.
  • Supports the Clinical Education team.
  • Coordinates and assists Nurse Leadership and Staff Educator with BLS program.
  • Coordinates and assists Nurse Leadership and Staff Educator with New Hire onboarding.
  • Coordinates and assists Nurse Leadership and Staff Educator withCrisis Prevention/Intervention training program.
  • Prepares agendas, types and distributes minutes and handouts, sends invitations and emails as appropriate. Facilitates both onsite and virtual meetings. Meeting support provided to all assigned committees. Uses software to store minutes, handouts and other related materials.
  • Assist Nurse Leadership with oversight of the Clinical Call Out mailbox and assigned work flows.
  • Provide clear written and oral communication
  • Sensitivity to cultural diversity of population being served.
  • Other responsibilities as assigned by supervisor.


Qualifications:

  1. Education/Training: Associates degree in Health Care or equivalent.
  2. Excellent communicator with demonstrated flexibility, motivation and positive attitude.
  3. Experience: Community health experience preferred.
  4. Knowledge/Skills: Basic computer skills to utilize software tracking systems. Ability to work independently, decision making ability, strong interpersonal communication skills, strong organizational skills, and attention to detail and follow-through.
