Responsibilities

What You'll Do The Supervisor, New York Administration reports to the Executive Director, People & Culture and assists with overseeing day-to-day operations of the New York Administration department, New York office, and supports Administration projects as needed. (This section provides a general summary of the most significant job duties performed. It does not explain in detail every single duty performed.)ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Serves as a point of contact and liaison for New York Administration with other departments, offices, individuals, and external vendors on a range of specific issues related to the New York office and/or the Administration department. Participates in the development of office administration and services by enforcing office administration procedures and policies and by advising on measures to improve the efficiency and cost-effectiveness of the New York office.Composes and prepares written documentation and correspondence for the office; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.Coordinates and assists with the day-to-day management of equipment and facilities for the New York office, as appropriate, to include maintenance, inventory management, logistics, and related activities.Inspects office equipment, furnishings, and structures to determine the need for repairs or renovation, and coordinates proactive maintenance to ensure that basic facilities are well-maintained.Assists with coordination of vendors for New York Administration projects and requests.Assists with New York Administration department requests by facilitating and ensuring effective communications with building management. Assists in the coordination of special projects as appropriate.Assists in overseeing mailroom and reception operations.Maintains departmental records and databases. Perform other duties as assigned or as the situation dictates.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:
    • Knowledge of office management principles and procedures, and ability to apply administrative and procedural decisions to time sensitive requests and tasks. Knowledge of supplies, equipment, and/or services ordering and inventory control.Able to learn, apply, and delegate knowledge of courier, post office, and various delivery services requirements; mailroom processes; and record management practices. Strong information research and records management skills.Expert organizational and clerical skills: high degree of attention to detail and time management to plan and prioritize daily tasks, identify delays and errors, and maintain records. Expert interpersonal skills: high degree of patience and tact, and must be able to cultivate relationships with people from diverse backgrounds, both internally and externally. Proficient in PC applications and Internet-based systems.Strong communication skills in English, both oral and written.Able to use sound judgment, discretion, and maintain confidentiality. Able to organize, prioritize and coordinate multiple assignments and projects; able to thrive in a highly dynamic work environment; able to develop creative solutions. Capable of holding oneself and others accountable to a high level of performance and integrity.Capable of taking direction from more than one supervisor. Able to maintain regular and acceptable attendance at such a level as is determined at SAG-AFTRA's sole discretion. Must be available and willing to work extended hours (and/or overtime for applicable non-exempt positions) per day or per week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs. Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs.COMPETENCIES:

      • Teamwork MINIMUM QUALIFICATIONS:
        • Education: High school diploma or equivalent.
        • Skills and Experience: 1-2 years of facilities or office management experience.
        • Must complete and maintain a valid CPR, AED, and First Aid certification within six (6) months of hire. PREFERRED BACKGROUND:
          • 2-4 years of facilities or office management experience.
