The Executive Administrative Assistant will work directly with the CEO and President/CIO, in addition to key stakeholders (family members) and other professionals across the organization as well as residential staff and third-party contractors to undertake a process-based approach to work and to enact operational excellence. This position will be an integral part of the Pierce Street Capital family office and will be responsible for a wide range of activities to include managing calendars, coordinating travel, managing the office, collaborating on projects, conducting research, and organizing documents.

Responsibilities

Administrative Aid:

  • Oversee certain day-to-day activities of the family office, including handling mail and packages, answering phones, ordering office supplies, equipment maintenance, and vendor management
  • Research various topics and prepare summary reports as requested
  • Work alongside the CEO and President to manage emails and prioritize associated requests


Calendar and Event Management:

  • Oversee and organize the CEO’s calendar to include scheduling meetings, conference calls, events, and appointments
  • Manage event tickets, organize events, coordinate logistics, reservations, catering, invitations, guest management


Travel Coordination:

  • Engage with the outsourced travel company to oversee travel planning – schedule flights, arrange ground transportation, book accommodations, and make other reservations


Financial and Document Management:

  • Assist the CEO and President with certain financial activities – receipt tracking, expense reporting, and invoice processing
  • Develop and maintain an organized filing system and digitize existing paper files


Personal and Household Management:

  • Coordinate with household staff to address ongoing needs at the CEO’s additional properties
  • Ensure residences are maintained and in proper working order
  • Provide personal support and complete miscellaneous tasks for the CEO


Qualifications:

  • Experience working as an executive assistant or personal assistant to the CEO of a significant enterprise
  • Proven record of successfully executing multiple ongoing projects
  • Demonstrated ability to handle confidential and sensitive information with discretion
  • Availability to address requests after regular working hours
  • Bachelor’s degree (preferred)
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Exceptional organizational and time management skills
  • Detail-oriented mindset with a commitment to precision
  • High levels of reliability, adaptability, and resourcefulness
  • The ability to anticipate the needs of the family office executives and proactively address those items
