Law Firm focused on transactional entertainment law seeking a reliable administrative assistant/front desk receptionist to support an office of 22 employees. The position requires the candidate to assist the office manager when needed, oversee the daily administrative operations of the office, including greeting clients, answering our busy phone lines, preparing invoices, assisting with billing, ordering/maintaining office supplies, and performing additional administrative duties as needed.

Qualified applicants should have prior experience either in an office or a customer service-related field, excellent communication skills, impeccable organizational skills, and the ability to thrive in a fast-paced environment.


General duties include:

• Answering/transferring phone calls in a friendly and professional manner.

• Handling receptionist tasks – greeting guests, keeping the front desk and office orderly.

• Administrative tasks – sorting mail, filing, faxing, creating, and circulating invoices.

• Assisting the office manager with the office's daily operations, which include working with administrative staff and lawyers in billing clients, maintaining office supplies, and coordinating events.

• Assisting with vendor relations, including correspondence and troubleshooting various matters (e.g., phones, internet, computer tech, and building managers).

• Assisting staff with additional projects as requested.


Requirements:

• High school diploma required, college degree preferred.

• Excellent writing and communication skills.

• Must be detail-oriented.

• Must be organized, punctual, and highly reliable.

• Must be confident and able to communicate with all levels of management, staff, clients, and guests.

• Proficiency in Windows, Microsoft Office, Adobe Acrobat, and ability to troubleshoot issues.

• Experience with Excel.

• Experience with Sage Timeslips.


Details:

• Position open for an immediate start (training and then transition to independence).

• Hourly rate of $23.50

• Health insurance eligibility. Eligible to participate in the firm's profit-sharing program after one year.

• Located in Century City.


Office hours 9:00 AM to 6:30 PM.
