Position Overview: We are seeking an experienced and motivated Office/Practice Manager to lead the daily operations of our medical practice. They will oversee, guide and supervise all front office & non-clinical staff. This individual will work directly with the Medical Director to improve and maintain compliance with the expectations and guidelines set forth by the Endoscopy Center of the North Shore. The ideal candidate will have a strong background in healthcare management/operations, excellent organizational skills, and a passion for improving patient care. This role requires a leader who can ensure the smooth and efficient operation of the practice, manage staff, and maintain a high standard of service delivery.


Key Responsibilities:

  • Oversee day-to-day operations of the medical office, including scheduling, billing, and patient flow management.
  • Ensures office space, supplies, equipment, and assistance are provided and maintained appropriately for medical staff and patient care.
  • Manage and supervise administrative and non- clinical staff, including hiring, training, and performance evaluations and performance management as needed.
  • Manages employee schedules and time off requests.
  • Processes payroll and ensures that all employees are compensated. Responsible for employee benefits management, including health, short term disability, life, and death and disability coverage as well as 401K contributions and enrollment.
  • Develop and implement office policies and procedures to ensure compliance with healthcare regulations and improve efficiency.
  • Monitor and manage the practice’s financial performance, including budgeting, revenue cycle management, and expense control.
  • Ensure patient satisfaction by addressing concerns, improving service delivery, and maintaining a patient-centered environment with a focus on the patient’s experience.
  • Coordinate with healthcare providers to optimize patient care and ensure the availability of necessary resources.
  • Enforces compliance with HIPAA and maintains patient confidentiality.
  • Promotes compliance with requirements of all appropriate regulatory agencies (i.e. CMS, OSHA, CLIA, Department of Health, etc.).
  • Stay updated with healthcare regulations, industry trends, and best practices to maintain compliance and to evaluate and identify areas of improvement to enhance practice operations.
  • Foster a positive and collaborative work environment, promoting teamwork and professional development.


Qualifications:

  • Bachelor’s degree in healthcare administration, Business Management, or a related field. Master’s degree preferred.
  • Minimum of 3 years of experience with a bachelor’s degree or 1 year of experience with a master’s degree in practice management or healthcare administration.
  • Strong understanding of medical office operations, including billing, coding, and insurance processes.
  • Experience with HR related policies and procedures.
  • Proficient in EHR systems and medical billing software, ideally EPIC EHR, ModMed (gGastro).
  • Financial management skills, including the ability to financially analyze data for operations, budgeting, auditing, forecasting. Quickbooks and Excel proficiency required.
  • Excellent leadership, communication, and interpersonal skills.
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • Knowledge of healthcare regulations, including CMS, HIPAA, and OSHA.
  • Strong problem-solving skills and attention to detail.
