Join Forrest Solutions' dynamic Office Services Coordinator. We are seeking a versatile professional who excels in Office Services, Mail, Reception environments, embodying a client-first mentality, positive demeanor, and strong work ethic. This role encompasses diverse responsibilities, including print production, mail management, reception duties, and conference room support.

Shift: Monday - Friday, 9:00am - 6:00pm

Pay Rate: $25.00/hr to $29/hr

Key Responsibilities:

Mail Services:

  • Receive and log courier-delivered items in the internal package tracking system.
  • Handle incoming and outgoing mail, including sorting, routing, and preparing shipments.
  • Distribute mail/packages throughout the facility.
  • Address customer inquiries and requests promptly and professionally.
  • Coordinate daily USPS pickups and monitor mail volume.

Reception:

  • Warmly greet guests and clients upon arrival.
  • Enter guest information into the firm's system accurately.
  • Manage incoming calls and emails throughout the day.
  • Schedule and maintain conference rooms.
  • Maintain a tidy and welcoming reception area.
  • Assist with administrative tasks such as filing, faxing, and scanning.

Conference Room Support:

  • Set up conference rooms according to client specifications.
  • Assist with audiovisual setup as needed.
  • Coordinate catering and refreshments for meetings.
  • Ensure conference spaces are stocked with necessary supplies.

Qualifications:

Experience:

  • Proficient in following established processes and procedures.
  • Creative problem solver for complex print projects.
  • Strong team player with exceptional communication skills.
  • Previous experience in a corporate environment with a professional demeanor.
  • Detail-oriented with a focus on accurate end-of-day reporting.
  • Advanced proficiency in Outlook, Word, and Excel.
  • Demonstrates the ability to work independently with minimal supervision.
  • Takes initiative and pays meticulous attention to detail.

Education and Experience:

  • Associate degree preferred; high school diploma or GED required.
